Full Job Description

SUMMARY: Working under the supervision of the Program Director, the Administrative Assistant will perform a variety of general administrative and clerical services. The candidate will be required to take direction and work intuitively to support the goals and objectives of the program in a professional and culturally appropriate manner. The candidate will provide administrative support to the Program Director, oversee the clients’ entitlements and personal needs allowances where necessary. The Administrative Assistant will provide clients with any help needed to ensure that they receive their entitlements.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

§ Ensure the efficient flow of information within the facility and the administration office by storing, retrieving and disseminating information for staff and clients.

§ Send monthly reports to PACTWEB (TAD) and Department of Health and Mental Hygiene (DOHMH) to Debbie Modeste, Program Specialist, NYC Department of Health and Mental Hygiene.

§ Weekly internal Rent/Up report to Director, Behavioral Health Scatter Sites Program and Chief Program Officer.

§ Oversee the maintenance of files and other information systems.

§ Develop, recommend and implement new systems as appropriate.

§ Prepare various reports concerning facility operations including, but not limited to the disbursements and reconciling of petty cash.

§ Provide clerical and administrative assistance to the Program Director including, but not limited to scheduling and coordinating meetings, appointments for Program Director.

§ Provide general administrative and clerical support including data entry, open, sort and distribute incoming correspondences, mailing, scanning, faxing and copying to management.

§ Maintain time and attendance records and personal files of all staff under UPS Mental Health Programs. Submit timesheets and maintain up to date staff accruals.

§ Ensure that all office equipment is in good working order. Oversee and maintain inventory levels of office supplies.

§ Prepare purchase requisitions, etc., as necessary. Follow up to ensure that materials are received and /or work is performed and that paperwork requirements have been fulfilled.

§ Ensure that all clients are reported to the State Office of Mental Health through the OMH LS3-6.

§ Ensure that the Admission Roster and Movement form is up to date at all times.

§ To ensure that all admissions and discharges are reported to HRA, the NYC Department of Health and Mental Hygiene (DOHMH) as required using the PACT-TAD/TMS electronic systems.

§ Maintain inventory of apartment and office supply stock. Ensure apartment leases are renewed in a timely manner.

§ Ensure client’s income verification statements are updated annually.

§ Prepare documents enabling client’s recertification for all entitlements.

§ Assist client to obtain necessary identifications including birth certificate applications for clients.

§ Monitor clients’ monies for whom the agency is representative payee.

§ Prepare representative payee reports for Supplemental Security Income (SSI).

§ Responsible for the disbursement of clients’ Money Management; maintain records and ensure the accuracy of all funds.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High School Diploma or a GED plus specialized course work in clerical and administrative job functions. A minimum of three (3) year’s clerical/administrative experience.

Excellent telephone manner and interpersonal skills. Excellent organizational skills Knowledge of correct spelling and rules of grammar. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

PHYSICAL REQUIREMENTS:

Work involves sitting and standing for prolonged periods of time.
Ability to ascend/descend stairs up to six flights.
Ability to lift up to 15 lbs.
Able to navigate public transportation.
Able to withstand changing environmental conditions with weather (rain, heat, snow, and winds).
Able to withstand and manipulate through construction areas, sports fields, etc.
