We are seeking a motivated and detail-oriented Webstore & Client Account Coordinator to join our team. In this role, you will manage online sales channels, coordinate client accounts, and ensure seamless order processing and fulfillment. Your proactive approach will help optimize our operations, enhance customer experience, and support our e-commerce growth.

Customer Webstore Management

Create and launch branded customer webstores using Order My Gear.
Configure products, pricing, sizing, images, deadlines, and payment settings
Monitor active stores and ensure all information is accurate and functioning properly
Provide customer support related to webstore ordering and functionality
Manage store timelines, open/close dates, and reporting

Order Processing & Production Coordination

Process and place product orders with suppliers and decorators
Coordinate production schedules and delivery timelines
Verify order accuracy, quantities, artwork placement, and customization details
Confirm customer logos and branding files are production-ready and accurate
Communicate with vendors regarding inventory, production status, and shipping updates

Shipping & Receiving

Coordinate inbound and outbound shipments
Verify received products against purchase orders and customer orders
Ensure accurate packaging, labeling, and distribution
Resolve shipping discrepancies or damaged product issues promptly

Customer Relationship Management

Maintain ongoing communication with customers throughout each project
Build long-term customer relationships through proactive service and follow-up
Track customer ordering history and proactively remind customers to launch future or seasonal webstores
Identify opportunities for repeat orders, employee stores, team stores, and additional promotional programs

Administrative & Team Support

Maintain organized project records and order documentation
Assist with reporting, invoicing coordination, and customer follow-up
Collaborate with sales and operations teams to ensure successful project execution

Qualifications

Strong organizational and multitasking skills
Excellent attention to detail and accuracy
Strong written and verbal communication skills
Customer service or account management experience preferred
Experience with eCommerce platforms or order management systems preferred
Experience in promotional products, apparel, print, or branded merchandise industry is a plus
Comfortable working with spreadsheets, artwork files, and order tracking systems
Ability to manage deadlines in a fast-paced environment

Preferred Skills

Experience using Order My Gear
Knowledge of apparel decoration methods and branded merchandise production
Familiarity with supplier ordering and shipping logistics
CRM or repeat-order management experience
