Full Job Description

Urban Fire Control is seeking an experienced and highly organized DOB/FDNY Filing Representative (Expediter) to join our team. You will serve as the essential link between our design team, the New York City Department of Buildings (DOB), and the Fire Department of New York (FDNY). Your primary responsibility is to shepherd permit applications, fire safety plan approvals, Letters of Approval, and operational permits through the city’s complex regulatory processes. You are the "navigator" who ensures our projects remain on schedule by proactively managing filings, resolving objections, and maintaining clear communication with city and fire officials.

Duties

Comprehensive Filing Management: Prepare, submit, and manage permit applications (NB, Alt-1, Alt-2, Alt-3) via DOB NOW: Build and relevant FDNY portals.
FDNY Coordination: Manage the submission of fire alarm system plans, fire suppression system filings, and emergency action plans to the FDNY for review and approval.
Objection Resolution: Review technical objections from both DOB plan examiners and FDNY personnel; coordinate with our Architects and Engineers to provide the necessary clarifications or design revisions.
Regulatory Liaison: Act as the primary point of contact for DOB staff and FDNY fire prevention inspectors to navigate permitting, variances, and code interpretations.
Status Tracking: Monitor the progress of all active filings; provide regular status updates to project managers regarding approvals, inspections, and pending deadlines for both DOB and FDNY.
Violation Removal: Manage the process of clearing open DOB and FDNY violations to facilitate permit applications or property certifications.
Inspection Coordination: Coordinate with our field team and city inspectors to schedule required final inspections and secure sign-offs for fire safety systems and construction projects.
Document Integrity: Ensure all documentation—including PW1s, TR forms, site safety plans, and fire safety compliance documents—is accurate and up to date.

Qualifications

Registration: Active NYC Department of Buildings Filing Representative registration (Class 1 or Class 2).
Experience: Proven track record of successful filings with the NYC DOB and direct experience navigating FDNY submission and approval processes.
Code Literacy: Ability to interpret building codes, fire codes, and zoning resolutions; experience identifying potential compliance snags before submission.
Technical Proficiency: Skilled in using Bluebeam Revu for document markup and tracking; proficient in MS Office and standard industry filing software.
Communication: Exceptional negotiation and interpersonal skills; ability to advocate for approvals while maintaining professional relationships with city and FDNY officials.
Organization: High level of discipline in managing multiple projects, deadlines, and agency follow-ups simultaneously.

Pay: $24.94 - $30.03 per hour
