Full Job Description

Position Summary

We are seeking a professional, organized, and customer focused Front Desk Administrator to serve as the first point of contact for our company. This individual will greet clients and visitors with professionalism, answer incoming phone calls, and provide exceptional administrative support to ensure the office operates efficiently. The ideal candidate is dependable, detail oriented, highly organized, and capable of managing multiple responsibilities while maintaining a positive and welcoming attitude.

Key Responsibilities

Greet and welcome clients, vendors, and visitors in a friendly and professional manner.
Answer and direct incoming phone calls promptly and courteously.
Maintain a clean, organized, and professional reception area.
Perform accurate data entry and maintain electronic and physical records.
Track and maintain department budgets, expenses, and financial records as assigned.
Coordinate incoming and outgoing shipments with off-site vendors, suppliers, and shipping companies.
Prepare shipping documentation and maintain shipment records.
Schedule appointments, meetings, and conference rooms as needed.
Receive, sort, and distribute mail and deliveries.
Assist with ordering and maintaining office supplies and inventory.
Provide administrative support to management.
Create, update, and organize spreadsheets, reports, and other business documents as assigned.
Ensure confidential information is handled with discretion.
Respond to client inquiries and resolve routine issues professionally.
Maintain accurate filing systems and company records.
Support office projects and perform additional administrative duties as assigned.

Qualifications

High school diploma or equivalent required; associate degree preferred.
Previous experience in a front desk, receptionist, or administrative role preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer applications.
Strong data entry skills with a high level of accuracy.
Excellent verbal and written communication skills.
Ability to prioritize tasks and manage multiple responsibilities.
