Full Job Description

Description

The Shipping & Receiving Associate is responsible for the accurate receipt, storage, movement, and shipment of raw materials, packaging materials, and finished goods. This position plays a critical role in maintaining inventory accuracy, product traceability, and timely order fulfillment while supporting Production, Quality, Customer Service, and Supply Chain operations.

Working in a fast-paced manufacturing environment, the Shipping & Receiving Associate ensures inventory transactions, shipping documentation, and warehouse activities are completed accurately and in accordance with Company policies, Good Manufacturing Practices (GMPs), food safety requirements, and established Standard Operating Procedures (SOPs).

Shipping Operations

Pick, pack, stage, and prepare customer orders for shipment.
Verify lot numbers, quantities, and shipping documentation prior to shipment.
Prepare and verify Bills of Lading, packing slips, shipping labels, and related documentation.
Load trailers while ensuring products are secured and protected from damage during transit.
Coordinate outbound shipments with carriers and internal departments.
Verify shipping methods and carrier requirements prior to shipment.
Assist with domestic, wholesale, retail, and international shipments as assigned.

Receiving Operations

Receive incoming raw materials, packaging materials, supplies, and finished goods.
Inspect trailers prior to loading and unloading for cleanliness, structural integrity, signs of pests, moisture, odors, damage, and potential contamination.
Verify received materials against purchase orders, packing slips, BOLs, and documentation.
Verify product, lot numbers, quantities, expiration dates, and condition prior to receipt.
Ensure proper storage of organic, allergen-controlled, and consumable materials upon receipt.
Unload trailers and transport materials to designated warehouse locations.
Notify the Shipping Manager of discrepancies, shortages, or damaged materials.

Inventory Control

Complete inventory movements and transactions accurately and timely within the Company's ERP and warehouse management systems.
Utilize barcode scanners, ERP systems, and inventory management software to accurately record inventory movement.
Assist with cycle counts, physical inventories, and inventory reconciliation activities.
Maintain inventory accuracy and traceability by following established procedures.
Support investigation and resolution of inventory discrepancies.
Complete shipping, receiving, inventory, and warehouse documentation accurately and timely.

Warehouse Operations

Safely operate forklifts, pallet jacks, and other material handling equipment.
Coordinate loading and unloading of trailers while ensuring safe material handling practices.
Load, unload, stage, move, and store materials throughout the facility.
Maintain organized warehouse locations and storage areas.
Ensure warehouse aisles, emergency exits, and material storage areas remain organized and accessible.
Maintain internal warehouse cleanliness and organization to support operational efficiency and audit readiness.
Assist with organization and cleanliness of designated exterior warehouse and storage areas.
Monitor shipping and receiving supplies and notify leadership when replenishment is needed to support uninterrupted operations.
Report damaged racks, equipment, pallets, or unsafe warehouse conditions immediately.
Cross-train in shipping, receiving, inventory movement, and related warehouse functions to support operational flexibility.

Quality & Compliance

Follow all GMP, food safety, quality, organic handling, and warehouse SOPs while maintaining product integrity throughout receiving, storage, and shipping activities.
Maintain complete and accurate documentation supporting inventory traceability.
Support audits by maintaining organized records, documentation, and warehouse conditions.
Report quality concerns, damaged materials, equipment issues, or safety hazards immediately.

Cross-Functional Support

Work collaboratively with other departments to ensure uninterrupted operations.
Provide backup support for shipping, receiving, and warehouse functions.
Participate in cross-training activities to support operational flexibility.
Perform other duties and cross-functional assignments as required.

Qualifications

Required

High School Diploma or GED.
Minimum one (1) year of warehouse, shipping, receiving, or distribution experience.
Ability to obtain forklift certification.
Basic computer proficiency.
Strong attention to detail and organizational skills.
Ability to accurately follow written procedures, work instructions, and SOPs.
Ability to work effectively in a fast-paced manufacturing environment, including indoor and outdoor storage areas.
Ability to safely operate forklifts, pallet jacks, and other material handling equipment.
Frequent standing, walking, bending, reaching, climbing, pushing, pulling, and lifting (up to 50 pounds) throughout the workday.

Preferred

Forklift certification.
Experience utilizing ERP, WMS, or inventory management software.
Experience operating barcode scanners or RF devices.
Manufacturing or food manufacturing experience.
Bilingual English/Spanish.

90-Day Probationary Period

The probationary period may be extended at any time during the first 60 days.

Employment may be terminated at any time during the probationary period in accordance with Company policy.

The training period will last as long as necessary and will be determined by your supervisor.

Occasional local travel may be required.
