About Us

Gardenia Weddings is a bespoke wedding planning and design company servicing the greater Austin, Texas area. We specialize in creative, nontraditional, and deeply personal celebrations that reflect each couple’s unique story.

We are growing our team and looking for a detail-oriented, reliable, and upbeat Assistant Wedding Planner to help keep our planning operations running smoothly year-round.

Position Overview

The Assistant Wedding Planner will work directly with our Senior Wedding Planner to support the behind-the-scenes organization of our event production.

This is a part-time, in-person position based in Austin, TX, averaging 15 hours per week during slow season and 25 hours per week during peak season. The role focuses on administrative support, vendor communication, and planning preparation. This position also involves on-site wedding day coordination to assist with event execution.

Key Responsibilities

Assist with scheduling, vendor communication, and client coordination.
Organize and update digital files, timelines, floor plans, and checklists.
Conduct vendor and venue research as directed by the Senior Planner.
Prepare and update event-day materials (timelines, contact sheets, setup guides).
Track tasks and follow up on action items discussed in planning meetings.
Assist with packing/unpacking event-day materials and maintaining inventory.
Accompany the Senior Planner to client meetings, venue tours, and vendor consultations for note-taking and follow-up documentation.
Assist with wedding day coordination to ensure successful event execution.

Qualifications

Strong organization and multitasking skills.
Excellent written and verbal communication.
Professional, friendly demeanor with strong attention to detail.
Ability to work independently and as part of a small, creative team.
Tech-savvy (GMail and Canva experience preferred).
Reliable transportation to our Austin office and local event venues.
Experience in weddings, hospitality, or events.
Comfortability working with clients of varying religions, ethnicities, and sexual orientation.

Schedule

Tuesday: 12:00 PM – 4:00 PM
Wednesday: 12:00 PM – 4:00 PM
Thursday: 12:00 PM – 4:00 PM
Friday: 12:00 PM – 4:00 PM

Additional on-site event coordination hours will be determined on a case by case basis, averaging 10 hours per event. Weekend availability during fall and spring seasons are required.

Compensation & Employment Details

Pay: $20/hour
Hours: 15-25 hours per week
Classification: W2 Part-Time Employee
