Front Office Coordinator

The Economic Alliance is seeking an energetic, organized, and customer-focused Front Office Coordinator to serve as the welcoming face and voice of our organization. In this highly visible role, you'll be the hub of daily operations, helping members, visitors, stakeholders, and businesses connect with the resources and opportunities that drive economic growth throughout our region.

In addition to serving as the organization's front office coordinator, this role provides critical support to key community and business leadership groups, including the Community Development Innovation Council and Business Support Innovation Council, helping advance initiatives that enhance economic opportunity, business success, and regional competitiveness.

What You'll Do

As the first point of contact for the Economic Alliance, you'll help create positive experiences while supporting a variety of administrative, membership, council, and operational functions.

Member & Visitor Experience

Welcome visitors and provide a professional, friendly first impression of the organization.
Answer, direct, and respond to phone calls, voicemail messages, emails, and general inquiries.
Connect businesses, community members, and stakeholders with valuable information and resources.
Serve as the primary host for meeting room rentals and facility guests.
Respond to inquiries regarding community information, member services, and Economic Alliance programs.

Membership & Relationship Support

Maintain and update membership and stakeholder databases.
Provide member referrals and accurately record interactions and contacts.
Build positive relationships with members through regular outreach and engagement.
Support relationship management efforts that strengthen member connections and satisfaction.
Establish rapport with member organizations through regular communication and exceptional customer service.

Administrative & Operational Support

Process and track Certificates of Origin requests.
Receive, sort, and distribute incoming mail and general email correspondence.
Order, stock, and distribute office supplies.
Assist with document preparation, filing, scanning, photocopying, and other administrative projects.
Support the Accounting Specialist by organizing checks and preparing deposit documentation.
Coordinate meeting logistics, including ordering meals for meetings and special events.
Assist with maintaining organized office operations and ensuring a welcoming environment for staff and visitors.

Council, Program & Event Support

Provide administrative and coordination support for the Community Development Innovation Council and Business Support Innovation Council.
Assist with meeting scheduling, agenda preparation, communications, meeting materials, attendance tracking, and follow-up activities.
Support council members and stakeholders as they collaborate on initiatives that strengthen economic growth, community development, and business success throughout the region.
Process Farmers Market vendor applications, insurance documentation, and payments.
Assist with special events, programs, and organizational initiatives.
Collaborate with team members and contribute to a positive, solutions-focused workplace culture.
Perform other duties as assigned to support organizational goals and business needs.

What We're Looking For Education & Experience

High school diploma or GED required.
Associate degree or equivalent post-secondary education preferred.
One to two years of receptionist, office administration, customer service, or related experience.

Skills & Qualifications

Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Access.
Strong computer and internet navigation skills.
Excellent verbal and written communication abilities.
Exceptional customer service and interpersonal skills.
Strong organizational skills and attention to detail.
Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
Sound judgment and problem-solving abilities.
Ability to work independently with minimal supervision.
Ability to adapt positively to changing priorities and responsibilities.
Strong active listening skills and a collaborative team mindset.
Professional demeanor and appearance.
