Overview

We are seeking a dynamic and highly organized Secretary/Receptionist to be the welcoming face and administrative backbone of our team. This role offers an exciting opportunity to contribute to a professional environment where excellent communication, efficient office management, and exceptional customer service are valued. The ideal candidate will be proactive, personable, and adept at multitasking in a fast-paced setting. Your primary responsibility will be to ensure smooth daily operations by managing front desk activities, supporting administrative functions, and providing outstanding support to clients and staff alike.

Responsibilities

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression.
Answer multi-line phone systems promptly using proper phone etiquette; direct calls efficiently to the appropriate departments or personnel.
Manage incoming and outgoing correspondence, including emails, mail, and courier deliveries.
Maintain organized filing systems both physically and digitally using tools such as Google Workspace and Microsoft Office applications.
Perform data entry, proofread documents for accuracy, and prepare reports or correspondence with precision.
Schedule appointments, coordinate calendars, and assist with basic bookkeeping tasks such as invoicing or expense tracking using QuickBooks.
Support office management tasks including supply inventory, maintaining cleanliness of common areas, and ensuring office equipment functions properly.

Requirements

Proven clerical experience with a strong background in office management or administrative support.
Exceptional computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and general computer literacy.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Strong customer service skills with the ability to handle client communication professionally across various channels.
Bilingual ( spanish & English) abilities are highly desirable to serve diverse client needs effectively.
Experience with multi-line phone systems, phone reception duties, and phone etiquette is essential.
Familiarity with data entry, filing systems, proofreading documents, and basic bookkeeping practices such as QuickBooks is preferred.
Personal assistant experience or previous front desk roles will be considered advantageous.
