Sunset Water Services is a family-owned water treatment company that’s been serving the Eastern Panhandle since 1989. We help homeowners improve their water quality with reliable water treatment solutions and exceptional customer service. As our business continues to grow, we're looking for someone to grow with us.

Job Summary

We're looking for an organized, dependable Office Manager to be the backbone of our office. This role is responsible for keeping daily operations running smoothly by providing excellent customer service, managing office administration, coordinating schedules, and handling bookkeeping tasks. The ideal candidate is a self-starter who enjoys solving problems, learning new skills, and taking ownership of their work.

Core Responsibilities

Customer Service & Office Administration

Answer incoming phone calls and assist customers professionally and courteously.
Assist customers with billing questions, service requests, and general inquiries.
Manage incoming mail by sorting, filing, and directing important documents to the appropriate person.
Help create a positive experience for every customer.

Office Operations

Manage the office calendar by scheduling service technicians for installations, maintenance, and deliveries.
Ensure customer records are complete, accurate, and up to date in our field service management software.
Monitor office supplies and assist with tracking warehouse inventory.
Help improve office processes and keep operations running efficiently.

Bookkeeping & Financial Management

Manage accounts receivable, including customer invoicing, payment processing, and collections.
Process accounts payable and ensure vendors are paid accurately and on time.
Run payroll and assist with payroll tax filings, sales tax, and year-end tax documents.
Reconcile bank accounts and credit card transactions using QuickBooks.

Qualifications

Required

3+ years of experience in office administration, customer service, bookkeeping, or a related role.
High school diploma or equivalent.
Experience with QuickBooks and Microsoft Suite, or similar software.
Excellent communication and organizational skills.
Strong attention to detail and ability to manage multiple priorities.
Self-motivated, resourceful, and comfortable researching solutions independently before asking for assistance.
Professional, dependable, and able to work with minimal supervision.

Preferred

Experience in a service-based business (plumbing, HVAC, water treatment, construction, or route-based services).
Experience with field service management software such as Jobber.
Experience managing business social media or updating a company website.

Schedule & Compensation

Monday through Friday, 8:00 AM to 4:00 PM
$19–$25 per hour, based on experience
Benefits available after an introductory employment period and are negotiable based on performance.
