Client Engagement & Office Support Coordinator (Shared Position)
Location: Charlottesville, VA (In Office)
Compensation: $63,000 annual salary; benefits listed.
Schedule: This position is generally scheduled Monday through Thursday, 10:00 a.m. to 6:00 p.m. and Friday 9:00 a.m. to 4:00 p.m. The schedule may vary to support organizational needs at the end of the day. Whenever possible, advance notice will be provided, and schedule adjustments are expected to be infrequent.
Hiring Timeline and Process: Application review begins September 1, interviews in late September and early October, and expected start date November 2, 2026.
Reporting
This is a shared position jointly supported by Foothills Child Advocacy Center and the Sexual Assault Response Agency with Foothills being the employee of record. Supervision will be shared between Foothills Program Director and the Executive Director of SARA.

Foothills Child Advocacy Center
Foothills Children's Advocacy Center coordinates the multidisciplinary response to child abuse allegations by providing a safe, child-friendly setting where children receive forensic interviews, medical services, family advocacy, and mental health services. Working alongside law enforcement, child protective services, medical professionals, prosecutors, and other partners, Foothills provides a coordinated, compassionate response that supports children and families throughout the investigative process.

Sexual Assault Resource Agency (SARA)
The Sexual Assault Resource Agency (SARA) provides free, confidential services to survivors of sexual violence and their loved ones. Through crisis intervention, counseling, advocacy, prevention education, and community outreach, SARA empowers survivors, promotes healing, and works to prevent sexual violence.
SARA’s work is grounded in trauma-informed principles that prioritize safety, trust, collaboration, empowerment, and respect for every individual's voice, choices, and lived experiences. Our Shared Workspace
Foothills Child Advocacy Center and SARA share a collaborative office space in Charlottesville while maintaining separate missions, staff, and leadership. Together, we are committed to providing compassionate, trauma-informed services and creating a welcoming environment for every person who walks through our doors.
Position Summary
The Client Engagement & Office Support Coordinator serves as the first point of contact for children, families, clients, visitors, community partners, volunteers, and callers. This individual creates a warm, welcoming, and trauma-informed experience while providing administrative and operational support that keeps both organizations running smoothly.
The Coordinator manages front desk operations, supports day-to-day administrative functions, and assists with office operations, events, and organizational projects. Responsibilities are shared between both organizations.
The ideal candidate is organized, adaptable, technologically proficient, and enjoys supporting mission-driven teams in a collaborative environment.
Essential Responsibilities
Reception & Client Support
- Interact with guests and direct them with warmth and boundaried empathy.
- Answer and direct incoming phone calls for both organizations.
- Maintain a welcoming, safe, and organized reception area.
- Engage with and monitor children who are present for forensic interviews while caregivers participate in appointments.
- Coordinate incoming and outgoing mail, deliveries, and shipments.
- Consistently evaluate and consider ways to improve the welcome experience.
Office Administration
- Manage both organization’s general office email and correspondence.
- Maintain conference room schedules and shared calendars.
- Order office supplies, manage Community Care Closet, and coordinate equipment maintenance.
Administrative Support
- Maintain electronic and paper filing systems.
- Assist with copying, scanning, and records management.
- Maintain strict confidentiality of client, personnel, and organizational information.
Finance & Operations Support
- Perform simple, routine bookkeeping tasks.
- Support operational tasks and coordinate equipment maintenance.
Events & Community Engagement
- Support fundraising events, training, and community outreach activities.
- Support event registration and logistics.
Qualifications
- Three or more years of administrative, executive support, or office management experience.
- Three years of experience teaching, caregiving or parenting children.
- Demonstrate organizational, communication, and time management skills.
- High level of boundaried empathy, discretion, and attention to detail.
- Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Ability to work independently and collaboratively.
- Experience in nonprofit, healthcare, legal, victim services, or human services settings is preferred.
