Duties

Manage and maintain accurate financial records using QuickBooks and other productivity software
Handle data entry tasks with precision, including invoicing, billing, and expense tracking
Oversee office management duties such as filing, organizing documents, and maintaining office supplies
Provide front desk support by answering multi-line phone systems professionally and courteously
Assist with calendar management, bill payment scheduling, and client communication via phone and email
Support customer service efforts by addressing inquiries and providing excellent support to clients and visitors
Perform clerical tasks including word processing, proofreading, creating spreadsheets, and document preparation
Maintain organized filing systems both digitally (Google Workspace) and physically for easy access
Support medical or dental receptionist duties if applicable, including patient check-in and appointment coordination
Assist with bookkeeping tasks such as bank reconciliations, payroll processing, and financial reporting

Skills

Proficiency in QuickBooks for bookkeeping and financial recordkeeping
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel) and Google Workspace tools
Excellent organizational skills with the ability to multitask efficiently in a busy office environment
Demonstrated office management experience with familiarity in clerical procedures and data entry accuracy
Ability to handle confidential information discreetly while maintaining professionalism at all times
Strong typing speed for efficient data entry along with proofreading skills to ensure document accuracy
Technical proficiency in productivity software such as spreadsheets for data organization and analysis
