School Administrative Coordinator

Brazos Learning Montessori School
Richwood, Texas

Position Overview

Brazos Learning Montessori School is seeking an organized, professional, and energetic School Administrative Coordinator to join our growing Montessori community.

This position is ideal for someone who enjoys working with children, communicating with families, staying highly organized, and juggling a variety of responsibilities in a fast-paced school environment. The School Administrative Coordinator serves as the first point of contact for prospective and current families while providing essential administrative support to ensure the smooth daily operation of the school.

This role requires exceptional attention to detail, excellent communication skills, technology skills, and the ability to maintain confidentiality while creating a warm, welcoming experience for every family.

Responsibilities

Family & Customer Service

Welcome families and visitors with a warm and professional attitude.
Answer phones, emails, and general office inquiries.
Schedule school tours and follow up with prospective families.
Assist with enrollment and admissions paperwork.
Maintain positive communication with current and prospective families.
Support parent events, conferences, and school activities.

Admissions & Enrollment

Process new student applications.
Assist families through the enrollment process.
Maintain digital and physical student records.
Collect required licensing documents.
Track missing forms, immunization records, and required paperwork.
Prepare enrollment packets.
Update student files in Transparent Classroom.

Administrative Support

Manage daily office operations.
Maintain digital and physical student records.
Prepare school correspondence.
Create newsletters and announcements.
Assist with calendar planning.
Organize school forms and documentation.
Monitor office supplies and place orders.
Assist with licensing documentation and audits.

Experience with, or willingness to learn:

Microsoft Office
Google Workspace
Canva
Transparent Classroom (training provided)
Social media platforms

General School Support

Assist with preparing classroom materials when needed.
Support school events, Open Houses, and community outreach events.
Help coordinate staff meetings and professional development.
Maintain the confidentiality of all student, family, and staff information.
Perform other administrative duties as assigned.

Preferred Qualifications

Previous administrative experience.
Experience working in a school or childcare setting.
Montessori experience (preferred but not required)

Required Employment Qualifications

The selected candidate must be able to:

Successfully pass all required state and federal background checks.
Complete fingerprinting in accordance with Texas Child Care Licensing requirements.
Obtain or maintain current Pediatric CPR and First Aid certification (training may be provided by the school if needed).
Meet all Texas Child Care Licensing employment requirements.
Maintain strict confidentiality regarding student, family, and school information.

Physical Requirements

Sit, stand, and walk throughout the day.
Lift up to 30 pounds.
Occasionally assist in classrooms.
Move throughout the campus as needed.
