Job Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and clients, providing exceptional customer service while efficiently managing administrative tasks. Your energetic approach and strong organizational skills will help ensure smooth daily operations, support office management, and foster a welcoming environment. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced, professional setting.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression and providing excellent customer support.
Quickbooks experience is required.
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette.
Handle front desk duties including scheduling appointments, receiving deliveries, and maintaining visitor logs.
Perform data entry and maintain organized filing systems using spreadsheets and productivity software such as Microsoft Office.
Assist with office management tasks including supply inventory, document proofreading, and general clerical support.
Support client communication efforts by preparing correspondence, updating records, and managing email inquiries.
Utilize computer skills to prepare Word documents, spreadsheets, and reports efficiently while maintaining high levels of accuracy and attention to detail.

Experience

Prior office experience or administrative support roles demonstrating proficiency with Microsoft Office (Word, Excel) and data entry.
Strong organizational skills with the ability to multitask effectively in a busy environment.
Excellent communication skills, both verbal and written; bilingual abilities are a plus.
Familiarity with multi-line phone systems, office management procedures, and clerical tasks such as filing and proofreading.
Demonstrated computer literacy with technical proficiency in productivity software and internet navigation.
Customer service experience that highlights professionalism, patience, and effective problem-solving skills.
Personal assistant or front desk experience is advantageous but not required; training will be provided for the right candidate.
