Full Job Description

We are a privately owned trucking company in Powell, Ohio. We are hiring one person to work directly with the CEO and help run the business day to day.

This is a long term position. It is not remote and it is not a front desk job. You will work in the office with the owner, learn how the whole company works, and become the person everything runs through. As the company grows, you grow with it.

You will handle confidential financial and employee information, so we need someone we can trust completely.

WHAT YOU WILL DO

Bookkeeping and payroll (biggest part of the job)

Enter and categorize transactions in QuickBooks
Reconcile bank and credit card accounts every month
Process weekly payroll and contractor payments
Track invoices, receipts, bills, and expenses
Put together a simple weekly summary for the owner
Work with our accountant, payroll provider, and banks

Team and operations

Be the daily contact for our dispatchers and drivers
Talk with brokers on the phone and by email about rate confirmations, documents, and problems that come up
Coordinate freelancers and contractors, including agreements and invoices
Keep driver and contractor files current, including licenses, medical cards, and insurance
Track down missing paperwork like signed rate confirmations and delivery documents
Help with new hire paperwork as the team grows

Supporting the CEO

Manage the calendar, appointments, and follow ups
Keep a running list of priorities so nothing gets missed
Help with correspondence, travel, and some occasional personal scheduling

WHO WE ARE LOOKING FOR

At least 5 years of experience as an executive assistant, office manager, or bookkeeper
A work history that shows you stay at jobs for years, not months
Hands on bookkeeping experience. QuickBooks and payroll are a big plus
Comfortable on the phone with drivers, brokers, and vendors
Organized. You keep lists, you follow up, you finish things
Good with Excel or Google Sheets
Able to keep private information private

A college degree is not required. Trucking experience is not required either. We can teach you the industry.
