Full-Time Bookkeeper / Accountant

We are seeking a reliable, detail-oriented, and organized Full-Time Bookkeeper/Accountant to support our growing business by managing our day-to-day accounting, bookkeeping, payroll, and administrative financial functions.

Position Summary

Reporting to the Finance Manager, the Bookkeeper/Accountant will play a key role in maintaining accurate financial records, ensuring compliance with accounting standards, and supporting the financial health of the company. This position is responsible for bookkeeping, payroll processing, account reconciliations, accounts payable and receivable, inventory management, vendor relations, and general financial administration.

The ideal candidate will have a strong understanding of accounting principles, experience using QuickBooks, and the ability to work independently while maintaining a high level of accuracy and confidentiality.

Key Responsibilities

Accounting & Bookkeeping

Record daily financial transactions and maintain accurate records in QuickBooks.
Manage the general ledger and prepare journal entries.
Reconcile all bank accounts, cash accounts, credit card accounts, and intercompany accounts.
Perform monthly balance sheet reconciliations.
Assist with monthly, quarterly, and year-end financial reporting.
Ensure financial records are complete, accurate, and audit-ready.

Accounts Payable & Receivable

Review invoices for accuracy and proper approval.
Process vendor payments accurately and on time.
Monitor accounts receivable and follow up on outstanding balances when necessary.
Maintain organized vendor and customer records.
Ensure timely payment of all company obligations.

Payroll Administration

Review employee timecards and verify hours worked.
Tally timesheets and process payroll accurately and on schedule.
Maintain payroll records and ensure compliance with company policies and applicable regulations.

Cash Management

Count and reconcile daily cash receipts.
Count cash and reconcile vending machine sales and invoices.
Prepare bank deposits and exchange cash for change as needed.
Maintain accurate records of all cash transactions.

Inventory & Purchasing

Perform inventory counts and maintain accurate inventory records.
Monitor inventory levels and reorder supplies and operational materials as needed.
Assist in tracking inventory costs and maintaining adequate stock levels.

Vendor & Contract Management

Track contract renewal dates and ensure renewals are completed on time.
Negotiate pricing and terms with vendors to achieve cost savings.
Maintain organized records of vendor agreements and contracts.

Compliance & Financial Support

Ensure compliance with company accounting procedures and financial policies.
Assist with tax-related documentation and external accountant requests as needed.
Support management by preparing financial information and reports to aid business decisions.
Recommend process improvements to increase efficiency and accuracy.

Qualifications

Strong knowledge of accounting principles and bookkeeping practices.
Proficiency in QuickBooks is required.
Experience with Microsoft Excel and Microsoft Office Suite.
Previous bookkeeping or accounting experience is preferred.
Experience with accounts payable, accounts receivable, payroll processing, and bank reconciliations.
Tax preparation or tax reporting experience is a plus.
Exceptional attention to detail and accuracy.
Strong organizational, analytical, and problem-solving skills.
Ability to prioritize multiple tasks and meet deadlines.
Professionalism, integrity, and the ability to maintain confidentiality.

Travel Requirement

The successful candidate will be required to travel to our other company location approximately once per week.
