Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly, efficiently, and professionally. Your energetic approach and attention to detail will support our team’s productivity and enhance client and customer interactions. This position offers an exciting opportunity to showcase your administrative expertise while contributing to a positive and collaborative work environment. This position will be the constant in our office and will be the face of our business in office.

Duties

Manage front desk operations, greeting visitors and processing requests from visitors, employees, and superiors.
Handle data entry tasks accurately using spreadsheets, word processing, and productivity software to maintain organized records.
Coordinate office supplies, filing systems, and document management to ensure easy access and security of information.
Utilize Indeed/ Facebook / Recruitment platforms for recruiting of new employees and managing the database of potential new hires
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record management.
Assist with scheduling appointments, meetings, and managing calendars for Owner and CEO.
Perform clerical duties including proofreading documents, managing correspondence, and ensuring high standards of accuracy in all communications.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills.
Experience with office management tasks such as filing, organizing documents, and maintaining office equipment.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong phone etiquette skills combined with experience managing multi-line phone systems for efficient communication.
Bilingual (English/Spanish) abilities are a plus to better serve diverse team members and new recruits.
Demonstrated experience in administrative roles including data entry, clerical support, and customer service.
Technical proficiency with productivity software like spreadsheets and word processing tools for accurate data management.
Personal assistant or front desk experience is advantageous for handling multiple responsibilities seamlessly.
