We are looking for an organized, detail-oriented Part-Time Accounting Administrative Assistant to support our Accounting team and help maintain efficient financial operations. This position is an excellent opportunity for someone who enjoys administrative work, organization, and contributing to a fast-paced logistics environment.

Position Summary

The Accounting Administrative Assistant provides administrative and clerical support to the Accounting department at Vantage Logistics. This part-time position works Monday through Friday and plays an important role in maintaining accurate records, organizing documentation, supporting accounting workflows, and ensuring the team has the information needed to operate efficiently.

The ideal candidate is dependable, organized, detail-oriented, and comfortable managing multiple priorities while maintaining a high level of accuracy.

Work Schedule

Part-Time position
Monday through Friday
Approximately 15-19 hours per week (adjust based on business needs)
Schedule flexibility available within normal business hours

Essential Duties & Responsibilities

Provide administrative support to the Accounting department.
Organize and maintain electronic and physical accounting files.
Scan, upload, and file invoices, proof of deliveries (PODs), bills of lading (BOLs), and other financial documents.
Verify invoice documentation for completeness and accuracy before processing.
Assist with data entry into accounting and transportation management systems.
Respond to internal requests for accounting documentation and payment status.
Monitor shared accounting email inboxes and distribute requests appropriately.
Assist with special projects and additional administrative duties as assigned.

QualificationsRequired

High school diploma or equivalent.
One or more years of administrative, clerical, or accounting support experience.
Strong organizational skills with excellent attention to detail.
Ability to prioritize multiple tasks and meet deadlines.
Strong written and verbal communication skills.
Proficiency with Microsoft Office Suite, especially Excel and Outlook.
Strong data entry skills with a high level of accuracy.

Preferred

Associate's degree in Accounting, Business Administration, or a related field.
Experience supporting an accounting or finance department.
Experience in transportation, logistics, freight brokerage, or supply chain.
Familiarity with accounting software or Transportation Management Systems (TMS).
