Full Job Description

Job Overview:

Allscapes Management LLC is seeking an organized, dependable, and upbeat Office Manager to support our growing landscape and snow removal operations. This is a full-time, long-term career opportunity for someone who enjoys staying busy, helping customers, supporting field teams, and keeping office operations running smoothly.

The right person will work with a sense of urgency, take ownership of their responsibilities, and be able to shift priorities as the needs of the business change. Our workload is highly seasonal. The busy season and snow removal events require hustle, flexibility, and strong communication, while the off-season allows for a more flexible schedule.

Allscapes Management is part of a group of affiliated companies. While this position is primarily responsible for supporting Allscapes, team members may occasionally be asked to assist one of our other companies during its busy season, provide vacation coverage, or help with shared administrative needs.

Key Responsibilities

Answer incoming telephone calls and provide excellent customer service
Respond to customer questions and help resolve service concerns
Prepare and complete job work orders
Communicate job information, scheduling details, and customer needs to field crews
Provide administrative support to job foremen
Enter accounts payable invoices into QuickBooks
Maintain accurate customer and vendor records in QuickBooks
Create and send customer invoices
Make accounts receivable collection calls
Apply customer payments accurately to accounts
Maintain organized customer, vendor, and job records
Help coordinate office and field activities during the landscape and snow removal seasons
Provide occasional administrative support to affiliated companies as needed
Complete other administrative duties as needed

Ideal Candidate

Previous QuickBooks experience is a plus
Prior office management, administrative, bookkeeping, or customer service experience
Strong organizational and time-management skills
Ability to prioritize tasks and work with a sense of urgency
Professional and friendly telephone manner
Strong written and verbal communication skills
Accurate data-entry and recordkeeping skills
Team-oriented attitude and willingness to pitch in where needed
Ability to work independently without constant supervision
Ability to stay on task and remain productive throughout the workday
Dependability and consistent follow-through
Willingness to assist affiliated companies during busy periods or employee absences
Dependable attendance is a must
Positive, upbeat attitude
Interest in building a long-term career with the company

Schedule

This is a full-time position. The schedule may be more flexible during the off-season. Candidates must be prepared for a faster pace and additional flexibility during the busy landscape season and snow removal events.

About the position

We are looking for a self-motivated person who notices what needs to be done, follows through, and can be relied upon to remain productive without constant direction. The successful candidate will work well independently while also being willing to pitch in, support coworkers, and help wherever needed.

This position is an important link between our customers, office staff, field managers, and crews. The Office Manager must communicate well, stay organized, and help keep both office and field operations moving.
