Full Job Description

Job Summary

We are seeking a proactive and detail-oriented Bookkeeper and Office Secretary to join our dynamic team. This role combines legal support functions with comprehensive bookkeeping responsibilities, ensuring the smooth operation of our legal and financial processes. The ideal candidate will possess strong accounting skills, familiarity with various financial software, and the ability to manage legal documentation efficiently.

Responsibilities

Manage and maintain accurate financial records using accounting software such as QuickBooks, Xero, Sage, and Quicken, including general ledger entries, account reconciliations, and balance sheet reconciliation
Process payroll accurately and timely, ensuring compliance with relevant regulations and GAAP (Generally Accepted Accounting Principles) standards
Handle accounts payable and receivable functions, including invoice processing, payment scheduling, and collections
Prepare detailed financial reports, including budgets, financial statements, and tax documentation to support organizational needs
Assist with legal document preparation, review contracts, and organize case files in accordance with legal procedures
Conduct bank reconciliations and perform account analysis to identify discrepancies or irregularities

Skills

Extensive experience with accounting systems such as QuickBooks Online, Xero, Sage, and other financial software platforms
Strong understanding of double entry bookkeeping, debits & credits, journal entries, and technical accounting concepts
Proven bookkeeping experience with expertise in account reconciliation, bank reconciliation, and general ledger accounting
Knowledge of payroll processing procedures and tax experience related to payroll taxes and filings
Familiarity with public accounting practices as well as non-profit or governmental accounting environments
Excellent organizational skills with attention to detail in financial report writing and account analysis
Strong communication skills for collaborating across departments and preparing clear financial documentation
