Full Job Description

Position Overview

Executive & Personal Assistant to support the owner in both business operations and personal responsibilities.

This is not simply an administrative position. The right person will become a trusted right hand to the owner—helping manage priorities, communication, scheduling, follow-up, documentation, personal obligations, and special projects.

The primary purpose of this position is simple:

Protect the owner's time, keep priorities organized, ensure commitments are followed through, and reduce the number of administrative and personal tasks requiring the owner's direct attention.

The ideal candidate is someone who sees what needs to be done, takes ownership, follows through without repeated reminders, communicates professionally, and handles confidential information with discretion.

Key ResponsibilitiesExecutive & Business SupportCalendar & Time Management

Manage the owner's business and personal calendar.
Schedule and confirm meetings, appointments, calls, site visits, and events.
Prevent scheduling conflicts and unnecessary interruptions.
Build appropriate travel and preparation time into the calendar.
Provide daily and weekly schedule summaries.
Make sure the owner is prepared for important meetings and appointments.
Reschedule appointments and coordinate changes when priorities shift.

Email, Calls & Communication

Help organize and prioritize the owner's email.
Identify communications requiring immediate attention.
Draft routine emails and responses for approval when appropriate.
Follow up with employees, vendors, contractors, customers, and business partners.
Track unanswered requests and commitments.
Help prevent important communications from getting lost.
Maintain professional communication on behalf of the owner.

Task & Priority Management

Maintain a centralized list of the owner's business and personal priorities.
Convert conversations, meetings, texts, and emails into actionable tasks.
Assign or route tasks to the appropriate team member.
Track deadlines and follow up until items are completed.
Identify overdue or stalled items.
Provide a concise daily list of the most important decisions and actions requiring the owner's attention.
