Elm Street Family Dental is looking for an experienced, detail-oriented, and dependable Dental Insurance Coordinator to join our team! We are seeking someone who understands dental insurance, enjoys helping patients navigate their benefits, and takes pride in accurate, thorough work.
The Insurance Coordinator plays an important role in our practice by helping patients understand their insurance benefits, maintaining accurate insurance information, managing claims and pre-authorizations, and supporting our front office team as needed.
Insurance Responsibilities
- Build and maintain accurate patient insurance profiles using information received through our website, telephone, fax, and other sources.
- Set up insurance payment tables, deductibles, annual maximums, benefit levels, and benefits used to date.
- Verify patient insurance benefits and eligibility annually and document verification thoroughly in the patient's records.
- Review insurance history and coordinate benefits when applicable.
- Rebill and follow up on claims when coordination of benefits or other issues occur.
- Submit and follow up on insurance pre-authorizations and document treatment details and patient scheduling information.
- Assist the hygiene team with submitting and following up on PreViser assessments.
- Prepare and submit dental insurance appeals when necessary.
- Follow up on outstanding insurance issues and help resolve discrepancies between the insurance carrier, patient, and practice.
- Maintain accurate and organized insurance documentation.
Front Office Support
While insurance coordination is the primary focus of this position, the Insurance Coordinator will also provide front-office support as needed, including:
- Check patients in and provide new patient paperwork and updated medical history forms according to office protocol.
- Check patients out, review treatment plans and estimated co-pays, and schedule recommended treatment.
- Confirm that hygiene appointments are scheduled and assist patients with understanding their next steps.
- Assist with filling openings in the schedule for all providers.
- Answer and return patient phone calls and text messages in a timely and professional manner.
- Set up new patient accounts when appointments are scheduled.
- Send new patient paperwork and request records from previous dental offices.
- Complete new patient information and insurance information in the patient ledger according to office protocol.
- Process account inactivation and transfers according to office procedures.
- Fax and email necessary documentation throughout the day.
- Scan and properly label patient documents in the Dentrix Document Center.
- Document appropriate follow-up notes and account information clearly and accurately.
- Assist management with additional administrative duties as assigned.
Additional Responsibilities
- Separate and transfer patient accounts when necessary.
- Review annual flag reports and remove outdated or unnecessary flags.
- Assist with office closing procedures when needed, including running daily reports, balancing deposits, securing the cash drawer and office, and completing the end-of-day office walkthrough.
- Maintain a professional, positive, and team-oriented approach throughout the workday.

Preferred Qualifications
- Previous dental insurance or dental front-office experience.
- Strong understanding of dental insurance terminology, benefits, deductibles, annual maximums, waiting periods, frequency limitations, and coordination of benefits.
- Experience with dental insurance claims, pre-authorizations, appeals, and claim follow-up.
- Experience using Dentrix is strongly preferred.
- Strong computer and data-entry skills.
- Excellent attention to detail and ability to maintain accurate records.
- Excellent communication and customer service skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Professional, friendly, and compassionate demeanor.
- Ability to work independently while also being a supportive team member.
- Comfortable communicating with patients, insurance companies, dental providers, and team members.
- Ability to maintain patient confidentiality and follow HIPAA requirements.
