Job Overview CryoVibe Wellness is seeking a dynamic and organized Office Assistant / Personal Assistant to be the welcoming face of our Alpharetta cryotherapy and wellness studio and a trusted right-hand to the founder. In this role, you will manage front desk operations, deliver an exceptional client experience, coordinate bookings, and handle administrative tasks that keep our daily operations running smoothly. Your energetic approach and attention to detail will help foster a professional, upbeat atmosphere while ensuring every client feels cared for from the moment they walk in. This paid position offers an exciting opportunity to grow your skills inside a fast-moving wellness brand that is expanding its services, memberships, and community partnerships.

Duties

Greet clients, visitors, and partners with enthusiasm and professionalism, creating a warm, on-brand first impression that reflects the CryoVibe experience
Manage phones, texts, and inquiries promptly using proper phone etiquette, converting prospects into booked sessions and following up on no-shows
Operate the studio booking and CRM system (GoHighLevel / LeadConnector), including scheduling sessions, managing memberships, processing payments, and updating client records
Coordinate the founder's calendar, appointments, partnership meetings, and travel, and act as a gatekeeper for incoming requests
Handle incoming and outgoing correspondence — emails, mail, packages, and partner deliverables — with accuracy and timeliness
Maintain organized filing systems, both physical and digital (Google Workspace), ensuring easy retrieval of client forms, waivers, contracts, and marketing materials
Perform data entry across Microsoft Office, Google Workspace, and CRM tools with precision, including client intake, lead lists, and reporting
Support light bookkeeping activities (invoices, receipts, expense tracking) using QuickBooks or similar tools
Assist with running point-of-sale, retail product sales, and inventory of skincare and wellness products
Provide clerical support such as proofreading marketing copy, preparing reports, printing flyers, and managing office and studio supplies
Help execute on-site activations and community events (e.g., partnership pop-ups, pickleball tournament booth, raffle promotions) including setup, lead capture, and follow-up
Run personal assistant errands and tasks for the founder as needed (scheduling, vendor coordination, document prep, occasional pickups)

Skills

Proven experience in office management, front desk, or administrative roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry
Familiarity with phone, text, and email-based client communication and professional phone etiquette
Prior experience as a receptionist or front desk coordinator in a medical, dental, spa, med-spa, fitness, or wellness studio is strongly preferred
Comfort with CRM and booking platforms (GoHighLevel / LeadConnector experience a major plus; otherwise, ability to learn quickly)
Strong customer service skills with the ability to handle inquiries, objections, and rebookings politely and efficiently
Ability to multitask effectively while maintaining attention to detail in a fast-paced studio environment
Personal assistant experience or executive calendar management expertise is highly beneficial
Bilingual abilities are a plus to serve our diverse Alpharetta client base
Knowledge of bookkeeping software such as QuickBooks for basic financial tasks
Comfort with social media basics (Instagram, Facebook) is a bonus — posting stories, responding to DMs, and supporting promotions
Exceptional time management skills to prioritize tasks and meet deadlines accurately
Reliable, discreet, and trustworthy — this role involves confidential client and business information
