Full Job Description

CTS Engineering, Inc. is seeking a dependable, organized, and service-oriented Administrative Assistant - II to provide on-site support at our Fort Lauderdale office. This hands-on role is ideal for someone who takes initiative, anticipates office needs, and enjoys supporting others. The ideal candidate can effectively balance administrative assignments, office operations, and local errands while helping maintain an organized, well-stocked, and professional workplace in a fast-paced environment.

Primary Responsibilities:

Office Operations and Staff Support

Provide day-to-day administrative assistance to employees and management in the office and respond promptly to office support needs.
Maintain a clean, organized, and professional office environment, including the reception area, conference rooms, supply areas, breakroom, and other shared spaces; ensure these areas remain stocked and presentable.
Monitor office, kitchen, printing, shipping, and marketing supply inventory; place orders, receive deliveries, organize stock, and restock supplies before items run low.
Print, copy, scan, bind, assemble, and organize documents and materials for staff, meetings, proposals, and other business needs.
Run local business errands, including pickups, deliveries, post office or shipping visits, supply purchases, and other company-related tasks.
Coordinate routine office maintenance and service requests with building management and outside vendors and follow through until issues are resolved.
Answer and direct telephone calls, welcome visitors, assist with meeting logistics, and help keep office information current.

Fleet Vehicle Coordination

Coordinate the availability, scheduling, and general readiness of company fleet vehicles assigned to the office.
Arrange and track routine vehicle services, including car washes, oil changes, repairs, and other preventive maintenance.
Maintain organized fleet records and monitor due dates for vehicle registrations, insurance documents, maintenance, and other required renewals.

Events, Sponsorships, and Travel

Assist the Administrative Team with planning and executing company events, employee activities, conferences, and other functions, and be available to attend and work events that may be scheduled on weekends with reasonable advance notice.
Support event logistics such as registrations, sponsorship registrations, attendee lists, and materials.
Arrange business travel accommodations, including airfare, hotel accommodations, and ground transportation, and communicate travel details to employees.

Administrative Records and Special Projects

Track and assist with the timely renewal of applicable company licenses, registrations, permits, memberships, and other recurring administrative requirements.
Prepare routine correspondence, letters, memoranda, emails, forms, and other documents.
Assist with basic Accounts Payable and Accounts Receivable activities, including processing expense reports and organizing invoices, receipts, approvals, and supporting documentation.
Maintain accurate electronic and paper files, handle confidential information with discretion, and support special projects and other duties as assigned.

Qualifications and Requirements:

At least three years of experience as an administrative assistant, office administrator, or in a comparable office support role.
Professional proficiency in English is required.
Strong organizational, time-management, and follow-through skills, with careful attention to detail.
Ability to prioritize competing assignments, meet deadlines, and adapt to changing office needs with a positive, service-oriented approach.
Strong written and verbal communication skills and the ability to interact professionally with employees, management, clients, consultants, vendors, and visitors.
Proficiency with Microsoft Office, including Outlook, Word, and Excel, and the ability to learn company-specific systems.
Sound judgment and the ability to handle confidential or sensitive information with integrity and discretion.

Schedule and Work Requirements:

A valid driver's license and the ability to operate company vehicles in accordance with company and insurance requirements.
Full-time, on-site position based in the Fort Lauderdale office, generally Monday through Friday.
Availability to work occasional weekends for company events, with advance notice when practicable.
Ability to travel locally to complete errands, vehicle service appointments, deliveries, pickups, and event-related assignments.
Ability to move throughout the office and occasionally lift, carry, and restock office or event supplies weighing up to 25 pounds, with or without reasonable accommodation.
