Full Job Description

We are seeking a highly organized and detail-oriented Route Coordinator / Scheduler / Estimator to oversee daily crew schedules, optimize routing, prepare accurate job estimates, and serve as a key point of contact for our customers. This role is ideal for someone who thrives in a fast-paced environment, communicates professionally, and understands the impact that excellent scheduling and accurate estimating have on customer satisfaction and operational success.

Key Responsibilities

Schedule and dispatch crews efficiently based on workload, location, and service priorities
Plan and coordinate daily and weekly routes to maximize productivity and minimize drive time
Prepare, review, and deliver accurate job estimates and quotes to customers in a timely manner
Assess job requirements, materials, labor, and time needed to develop competitive and profitable pricing
Follow up on outstanding estimates to convert quotes into scheduled work
Communicate with customers regarding scheduling, estimates, changes, and service updates
Collaborate closely with field crews to ensure schedules are followed, estimates align with actual job scope, and issues are addressed quickly
Handle incoming calls, emails, and messages in a professional, customer-focused manner
Maintain accurate scheduling records, estimate documentation, and customer information
Proactively problem-solve around weather and other delays, last-minute changes, or unexpected issues

Qualifications, Skills, and Abilities

Previous experience in scheduling, dispatching, route coordination, or estimating preferred
Strong organizational and time-management skills
Excellent verbal and written communication skills
Ability to read job specifications and accurately calculate costs, materials, and labor
Professional demeanor with a customer-first mindset
Ability to multitask, prioritize, and stay calm under pressure
Comfortable using scheduling and estimating software, phones, and basic computer systems
Reliable, dependable, and detail-oriented
CRM experience preferred; we currently use ServiceTitan
