Full Job Description

Front Office Coordinator

Sojourner House, Inc. is a homeless shelter for families located in Roxbury. Families are referred through the Executive Office of Housing and Livable Communities (EOHLC). At full capacity Sojourner House can provide shelter for up to nine families. After families secure permanent housing, Sojourner House continues to offer stabilization services for up to two years. Sojourner House owns and manages properties in Roxbury and Milton.

Position Summary: This newly created position will play an important role in strengthening the Front Office operations and provide direct administrative support to the Executive Director. The Front Office Coordinator is responsible for overseeing the daily operations of the Front Office and ensuring consistent staffing coverage to support the shelter's 24-hour operations. This position provides supervision and training to Front Office staff while serving as the primary administrative support to the Executive Director.

The Front Office Coordinator is responsible for maintaining a professional, organized, and welcoming front office environment. The ideal candidate is highly organized, exercises sound judgment, maintains strict confidentiality, communicates effectively, and demonstrates professionalism in all interactions with families, staff, volunteers, community partners, and visitors. This position reports to the Executive Director and the Operations Manager.

Responsibilities:

· Coordinate Front Office coverage while ensuring the shelter is staffed 24/7

· Manage and train Front Office staff

· Assist with the processing of payroll for Front Office staff, ensuring accuracy and timely submission for approval

· Answer phone, greet visitors, volunteers and community partners

· Ensure front office is presentable and organized

· Log and document all pertinent guests and shelter related information

· Attend internal and external meetings and workshops

· Maintain a high level of professionalism, and personal boundaries

· Compose professional emails, notices, letters and other correspondence

· Provide administrative and logistical support to the Executive Director

· Order and track supplies

Required

· Exceptional written and verbal communications skills, including the ability to compose professional emails, notices and letters

· Outstanding organizational skills with the ability to effectively manage multiple projects, prioritize competing responsibilities, and meet deadlines

· Proficient in MS Word, Google Workspace and spreadsheets

· Maintain strict confidentiality and handle sensitive information with professionalism, discretion, and integrity

· Punctual and reliable

· Supervisory experience

· Must be a team player, attention to detail and take initiative

· Possess a valid Massachusetts driver’s license and a reliable vehicle

Physical Requirements: Standing, sitting, bending, climbing, carrying, walking, and driving.

Pay: $48,000.00 - $50,000.00 per year
