Overview

We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience. Your organizational skills, technical proficiency, and friendly demeanor will help create a positive environment that reflects our commitment to exceptional service. This paid position offers an exciting opportunity to develop your administrative expertise while supporting daily office operations.

Responsibilities

Greet visitors warmly and direct them appropriately, maintaining excellent phone etiquette and customer support standards
Manage multi-line phone systems efficiently, handling inquiries and routing calls with professionalism
Maintain accurate data entry records using productivity software such as Microsoft Office, Google Workspace, and QuickBooks
Handle clerical tasks including filing, proofreading, calendar management, and document preparation with precision
Support office management duties like organizing supplies, managing appointments, and overseeing filing systems
Provide administrative assistance by supporting personal assistant tasks or medical/dental receptionist duties as needed
Ensure smooth office operations through effective time management, organization skills, and attention to detail

Experience

Prior office experience or administrative roles demonstrating strong organizational and clerical skills
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with data entry, bookkeeping, or QuickBooks is highly desirable
Excellent customer service skills with a focus on professionalism and courtesy in person and over the phone
Bilingual abilities are a plus to assist diverse clients and visitors
Familiarity with multi-line phone systems, calendar management, and office management software is preferred
Previous experience as a front desk or medical/dental receptionist enhances your suitability for this role
