Full Job Description

Greenwood Law is looking for a detail-oriented Office Manager to own our bookkeeping, billing, and trust accounting. You'll keep our books accurate, our billing current, and our trust account reconciled, working closely with our Managing Attorney, who oversees all trust account matters. This role is financial and operational, not client-facing intake.

What you'll do:

Reconcile trust accounts and the general ledger, resolving discrepancies and maintaining accurate subsidiary account records
Maintain the general ledger and trust ledger, including trial balances
Generate client invoices, perform a first-pass review before attorney sign-off, and coordinate billing review meetings with attorneys
Record payments against billing, from both client payments and trust account disbursements
Coordinate and process outgoing bill payments and vendor invoices
Prepare financial reports and maintain historical financial records
Oversee vendor relationships and general office/business operations
Stay current on Illinois and Iowa trust accounting requirements and flag issues promptly
Obtain notary appointments in Illinois and Iowa after hire

What we're looking for:

Proven bookkeeping experience and a solid grasp of AP/AR principles
Proficiency in QuickBooks and MS Office; comfortable with spreadsheets and data entry
High accuracy and attention to detail
Familiarity with trust/IOLTA accounting or Clio Manage a plus
Spanish language skills, military or related professional experience, or a BS in Finance, Accounting, or Business Administration a plus
Legal field experience is not required, but relevant experience should be highlighted in your application

Pay: $20.00 - $25.00 per hour
