Administrative Assistant Who Loves Keeping Things Organized

Stanley Painting | Eau Claire, WI

Are you the person your friends call organized to a fault? Do you love checking things off a list, talking to people, and turning chaos into order? Stanley Painting is a growing local painting company looking for someone exactly like you to help run the office and be the friendly voice our customers trust.

This is a critical role for our business. You are the glue that keeps everything together and the person our customers, crews, and owner rely on every day. You will make a real difference here, not just push paper.

What you will do:

Take inbound customer calls and make outbound marketing calls to strategic partners, past clients, and old leads.
Book and confirm estimates and jobs, and keep the schedule tight.
Keep our CRM and records accurate and up to date.
Handle invoicing and follow up on outstanding payments.
Help with local errands as needed.
Input data into our CRM and spreadsheets, and generate weekly, monthly, and quarterly reports.
Manage the business inbox and dispatch information to crews and the owner where appropriate.
Answer customer requests and questions by phone and email.

What we are looking for:

Extremely organized, reliable, and proactive - someone who takes initiative without being told.
Strong critical thinking and problem-solving skills: you can take a problem, break it down, and identify solutions before escalating.
Warm and clear on the phone and comfortable talking to customers.
Comfortable learning new software and AI tools.
Bonus: customer service, office administration, sales, or outbound calling experience.

Details:

Part-time to start with room to grow. Some work from home and some in person. Pay: $20–$25 per hour, depending on experience.
