Logistics Coordinator

Company Overview

Virginia Glass & Mirror is a long-established manufacturing company with 113 years of experience serving customers with quality glass and mirror products. Since our founding in 1913, we have built our reputation on quality, reliability, craftsmanship, customer service, and strong relationships with our employees and customers.

We are seeking an organized, dependable, and detail-oriented Logistics Coordinator to join our team and help ensure the efficient movement of materials and finished products from our manufacturing facilities to our customers.

Position Summary

The Logistics Coordinator is responsible for coordinating the daily transportation and delivery of finished goods and materials. This position works closely with Sales, Customer Service, Production, Warehouse, Drivers, and outside transportation carriers to ensure orders are scheduled, loaded, shipped, and delivered accurately and on time.

The successful candidate will be an excellent communicator who can manage multiple priorities in a fast-paced manufacturing environment while maintaining accuracy and providing exceptional internal and external customer service.

Essential Duties and Responsibilities

Coordinate daily shipments and deliveries of finished glass and mirror products.
Schedule pickups and deliveries with company drivers and outside freight carriers.
Coordinate transportation based on customer requirements, production schedules, delivery locations, and available capacity.
Monitor shipments from pickup through delivery and proactively communicate delays or issues.
Work closely with Sales and Customer Service to communicate shipment status and delivery schedules.
Coordinate with Production and Warehouse personnel to ensure products are ready and staged for shipment.
Verify orders, quantities, shipping information, and delivery requirements prior to shipment.
Communicate with drivers regarding routes, delivery requirements, customer instructions, and changes to schedules.
Monitor delivery performance and work to improve on-time delivery.
Investigate and resolve shipping discrepancies, damaged shipments, missed deliveries, and other transportation issues.
Coordinate customer returns and redelivery requirements as needed.
Communicate with carriers regarding rates, pickup times, delivery schedules, and service issues.
Maintain positive working relationships with transportation providers and customers.
Assist in monitoring inventory and finished-goods movement when necessary.
Maintain organized and accurate logistics files and records.
Prepare routine logistics reports and tracking spreadsheets.
Identify opportunities to improve transportation efficiency, reduce freight costs, and improve customer service.
Support company safety policies and procedures.
Maintain a clean, organized, and professional work environment.
Perform other duties as assigned by management.

Key Responsibilities

Transportation Coordination

Schedule and coordinate company and third-party transportation.
Optimize delivery schedules and routes when possible.
Monitor carrier performance and delivery times.
Follow up on delayed or missed shipments.

Shipping & Documentation

Ensure all shipping paperwork is complete and accurate.
Verify quantities, customer information, delivery addresses, and special instructions.
Maintain accurate shipment records.

Customer Service

Provide timely updates regarding shipment status.
Respond professionally to customer and internal inquiries.
Resolve transportation issues promptly and effectively.

Production & Warehouse Coordination

Communicate with Production regarding product availability and readiness.
Coordinate with Warehouse personnel to stage shipments.
Help ensure shipments are loaded accurately and safely.

Required Qualifications

High school diploma or equivalent required.
Previous experience in logistics, transportation, shipping, manufacturing, warehouse operations, or a related field preferred.
2–3 years of logistics or shipping experience preferred.
Strong computer skills, including Microsoft Excel, Outlook, and Word.
Experience working with an ERP, transportation management system, or shipping software preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to prioritize multiple tasks and meet deadlines.
Strong problem-solving and decision-making skills.
Ability to work effectively with employees at all levels of the organization.
Ability to work independently while also functioning effectively as part of a team.

Preferred Experience

Manufacturing or distribution experience.
Experience coordinating truckload (FTL) and less-than-truckload (LTL) shipments.
Experience working with freight carriers and transportation providers.
Experience with Bills of Lading and shipping documentation.
Experience coordinating delivery schedules with customers.
Knowledge of DOT transportation requirements is a plus.
Experience with glass, mirror, building products, or another manufacturing environment is a plus.

Physical Requirements

The employee may occasionally be required to walk through manufacturing, warehouse, and shipping areas. The position may require standing, walking, bending, reaching, and lifting or moving materials within the limits established for the position. The employee must be able to follow all applicable safety requirements when entering production and warehouse areas.

Work Environment

This position operates primarily in an office environment but will regularly interact with Production, Warehouse, Shipping, Drivers, and other manufacturing personnel. The employee may be required to enter manufacturing and shipping areas and must follow all applicable safety requirements and personal protective equipment policies.
