Job Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and operational support to our executive team. This dynamic role involves managing schedules, coordinating projects, handling correspondence, and ensuring smooth office operations. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a positive attitude to help drive productivity and efficiency across the organization. This paid position offers an exciting opportunity to work closely with senior leadership in a fast-paced environment, contributing to the success of our team and company initiatives.

Responsibilities

Manage and coordinate complex calendars for executives, including scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
Provide executive administrative support by preparing documents, proofreading communications, transcribing notes, and managing correspondence with professionalism and discretion.
Organize and facilitate meetings through video conferencing software such as Zoom or Microsoft Teams, ensuring all technical aspects are seamless.
Handle phone etiquette with professionalism when interacting with clients, vendors, and internal teams via multi-line phone systems.
Assist with event planning for company functions or meetings, including venue arrangements, catering coordination, and logistics management.
Maintain accurate records through data entry, filing systems, bookkeeping using QuickBooks, and managing invoices with DocuSign for electronic signatures.
Support office management tasks such as overseeing supplies inventory, front desk duties, filing systems, and general clerical responsibilities to ensure a productive workspace.

Skills

Proven experience as a Personal Assistant or Executive Assistant with strong office management skills.
Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Proficiency in productivity software including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and other relevant tools.
Technical proficiency in video conferencing software (Zoom, Microsoft Teams), data entry platforms, and multi-line phone systems.
Excellent communication skills with professional phone etiquette and the ability to collaborate effectively with C-suite executives.
Strong attention to detail for proofreading documents, transcription tasks, and managing calendars accurately.
Experience in event planning, bookkeeping (QuickBooks), project coordination, and office administration is highly desirable.
