Full Job Description

We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to 2 Managing Principals: the CEO/Founder and his business partner. This role primarily focuses on supporting the CEO, but will also require assisting his partner with administrative and project management tasks as needed. This is a fantastic opportunity for a proactive individual with 2-5 years of EA experience to work closely with respected leaders in the structural engineering industry. The CEO is known for his direct communication style and high standards, but also for being a supportive and appreciative employer. This role offers significant autonomy and the chance to make an impact, managing both professional and personal aspects of the CEO's busy schedule. He will train someone on what he needs but wants a proactive person who will want to take ownership of the work they are doing. He is respectful of their time at home so will text or email, and he will rarely ask you to do anything at night or over the weekend.

Key Responsibilities:

Executive Support (Primarily CEO, with Partner Support as Needed):
Manage and maintain the CEO's complex calendar, scheduling appointments, meetings, and travel arrangements.
Prepare and organize documents, presentations, and reports.
Track personal appointments and events for the CEO.
Provide administrative support to the partner as required.
Project Management (CEO and Partner):
Oversee and track renovation/construction projects for the CEO's and Partner’s investment properties (apartment buildings, etc.).
Liaise with vendors, contractors, and other stakeholders to ensure project completion.
Manage and organize project-related documentation and budgets.

Ideal Candidate Profile:

Experience: 2-5 years of experience as an Executive Assistant, demonstrating a solid understanding of EA responsibilities.
Organization & Initiative: Exceptionally organized with a strong ability to prioritize tasks and take initiative.
Proactive & Ownership: Takes ownership of tasks and anticipates needs.
Responsiveness & Reliability: Highly responsive and reliable, with a strong sense of responsibility.
Adaptability: Ability to adapt to changing priorities.
Communication: Excellent verbal and written communication skills, with an engaging and professional demeanor.
Can-Do Attitude: Ability to receive direct feedback and not take it personally, maintaining a positive can-do attitude under pressure. Understands that internal communication style is a reflection of the organization’s direct and results-oriented culture.
Discretion: Ability to handle confidential information with discretion.
