A growing food distribution company specializing in Salvadoran food products., are looking for a reliable, organized, and detail-oriented Office & Accounting Assistant Bilingual English/Spanish to join our team.

This is an important position within our company. The ideal candidate will help keep our daily administrative and accounting operations organized and will work closely with management, customers, and suppliers.

Position Summary

The Office & Accounting Assistant will be responsible for providing administrative and accounting support, including invoicing, accounts receivable, accounts payable, payment processing, data entry, customer accounts, Inventory, Customer Service, back office for Sales representatives and general office responsibilities.

The ideal candidate is highly organized, trustworthy, comfortable working with numbers, and able to manage multiple responsibilities while maintaining accuracy and confidentiality.

ResponsibilitiesAccounting & Bookkeeping

Assist with daily accounting and bookkeeping activities.
Enter and maintain financial transactions in QuickBooks or other accounting software
Maintain accurate financial records and documentation.
Prepare reports and information requested
Identify discrepancies and follow up to resolve them.
Accounts Receivable
Prepare and send customer invoices.
Record customer payments accurately.
Maintain customer account balances.
Follow up with customers regarding past-due invoices.
Assist management with customer credit accounts
Process authorized credits, returns, and adjustments.
Accounts Payable
Receive, review, and enter vendor invoices.
Verify invoices and supporting documentation.
Maintain organized vendor records.
Track payment due dates.
Distribution & Customer Support
Review delivery and invoice documentation.
Assist with discrepancies between deliveries and invoices.
Process authorized product returns and credits.
Maintain accurate customer information.
Communicate professionally with customers, vendors, and delivery personnel.
Assist with questions regarding invoices, balances, payments, and deliveries.

.General Office Administration

Answer phone calls and respond to emails.
Maintain organized physical and electronic files.
Prepare spreadsheets and reports using Microsoft Excel.
Enter and update customer and vendor information.
Customer Service for clients visiting warehouse (providing product information, preparing Invoices and receiving

QualificationsRequired

Experience in office administration, bookkeeping, accounting, or a similar position.
Experience with Accounts Receivable and Accounts Payable is a plus.
Strong attention to detail and accuracy.
Good organizational and time-management skills.
Comfortable working with numbers and financial information.
Proficiency with Microsoft Excel.
Strong communication and customer service skills.
Ability to maintain confidential business information.
Reliable, responsible, and punctual.
Ability to work independently and as part of a team.
Bilingual: English/ Spanish (speaking fluently is strongly required)
