Job Overview

We are seeking a dynamic and bilingual Office Assistant to join our team! This energetic role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and has a passion for providing exceptional administrative support. As an Office Assistant Bilingue Espanol/Ingles, you will be the friendly face of our office, managing front desk operations, supporting daily administrative tasks, and ensuring smooth communication across all levels. Your proactive approach and organizational skills will help keep our office running efficiently while delivering outstanding customer service to clients and colleagues alike.

Responsibilities

Greet visitors and clients warmly, providing excellent customer support and phone etiquette in both Spanish and English
Manage line phone systems, directing calls accurately and professionally
Handle front desk duties including scheduling appointments, receiving deliveries, and maintaining a welcoming environment
Perform data entry, filing, and document proofreading to ensure accuracy and organization, clients account information and prodiving back office support.
Support office management tasks such as calendar management, meeting coordination, and supply inventory oversight
Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks for bookkeeping and record keeping
Assist with clerical duties like photocopying, scanning, and maintaining organized filing systems

Requirements

Proven office experience with strong organizational skills and attention to detail
Bilingual fluency in Spanish and English is essential for effective communication with diverse clients and team members
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy
Knowledge of QuickBooks or similar bookkeeping software is a plus
Excellent phone etiquette with the ability to handle inquiries professionally and efficiently
Strong time management skills with the ability to prioritize tasks effectively
Personal assistant or administrative experience preferred but not required; a proactive attitude is essential
