Patient Communications Coordinator

Company: Forester Family Medical Supply
Reports To: General Manager
Schedule: 32 hours per week to start, with the expectation of transitioning to 40 hours per week based on performance and business needs

Position Summary

Forester Family Medical Supply is seeking a friendly, organized, and dependable Patient Communications Coordinator to serve as a primary point of contact for patients, caregivers, medical providers, and community partners.

Although this position does not work at a traditional front desk, it performs many essential receptionist and communication duties. The Patient Communications Coordinator is responsible for answering incoming calls, directing callers to the appropriate department, providing patient status updates, responding to text messages, and managing website inquiries.

The ideal candidate will be professional, patient, and comfortable managing a high volume of communication while maintaining excellent customer service.

Primary Responsibilities

Answer incoming calls promptly and professionally.
Identify the purpose of each call and route it to the correct department or team member.
Take complete and accurate messages when the appropriate employee is unavailable.
Provide patients and caregivers with appropriate updates regarding documentation, prior authorizations, orders, deliveries, and other account-related matters.
Review patient account notes before providing updates to ensure the information shared is accurate and current.
Respond to incoming patient text messages professionally and promptly.
Monitor and respond to website inquiries.
Direct text messages and website inquiries to the appropriate department when additional assistance is required.
Document patient calls, text messages, website inquiries, and other communications accurately in the appropriate systems.
Protect confidential patient information and follow all HIPAA requirements.
Remain calm, respectful, and solution-focused when assisting concerned or frustrated patients.
Communicate urgent patient concerns to the appropriate department or supervisor.
Assist with administrative tasks assigned by the General Manager.
Support company projects, data entry, document preparation, filing, scanning, and other office responsibilities as needed.
Work collaboratively with the care team, documentation, prior authorization, billing, logistics, and management departments.
Maintain a professional and positive attitude when communicating with patients, caregivers, providers, coworkers, and community partners.
Meet company expectations for call response times, communication accuracy, productivity, and follow-through.
Perform additional duties as assigned based on company needs.

Qualifications

High school diploma or equivalent required.
Previous experience in customer service, call center support, medical administration, reception, or a healthcare office is preferred.
Strong verbal and written communication skills.
Professional and confident telephone etiquette.
Excellent customer service and problem-solving skills.
Ability to communicate with compassion, patience, and professionalism.
Strong organization, time-management, and follow-up skills.
Ability to manage a high volume of calls, text messages, and inquiries.
Strong attention to detail and accurate documentation skills.
Ability to manage multiple responsibilities and changing priorities.
Basic computer skills and the ability to learn company software and communication systems.
Ability to work independently while contributing to a team environment.
Dependable attendance and consistent punctuality are required.
Experience with durable medical equipment, Medicaid, Medicare, or health insurance is a plus.
Bilingual English and Spanish is a plus.

Schedule and Growth

This position will begin at approximately 32 hours per week, with the expectation of transitioning to a 40-hour, full-time schedule. The timing of this transition will be based on training progress, job performance, workload, and company needs.
