Company Overview

HealHub Behavioral Health LLC provides compassionate, high-quality behavioral health services to individuals and families throughout Washington State. We are seeking a detail-oriented and dependable Medical Records Technician to maintain accurate, secure, and compliant client health records.

Position Summary

The Medical Records Technician is responsible for organizing, maintaining, reviewing, and safeguarding electronic health records. This position helps ensure that clinical staff have timely access to complete and accurate documentation while protecting client confidentiality.

All records must be managed in accordance with HIPAA, 42 CFR Part 2, Washington State requirements, and HealHub policies and procedures.

Key Responsibilities

Maintain accurate, complete, and up-to-date electronic health records.
Scan, upload, index, and file clinical and administrative documents in the appropriate client records.
Review client charts for completeness, accuracy, required signatures, and proper authorization.
Identify missing or incomplete documentation and follow up with clinical staff for timely correction.
Process releases of information, medical-record requests, subpoenas, court orders, payer requests, and audit requests in accordance with applicable confidentiality requirements.
Verify that appropriate client authorization or other legal authority is present before disclosing protected information.
Maintain organized records of clinical documentation, correspondence, authorizations.
Assist with internal chart audits, quality-assurance reviews, and compliance activities.
Coordinate with clinical staff, administrative personnel, insurance companies, and other authorized parties regarding documentation and records requests.
Manage record-retention and secure-destruction schedules in accordance with federal and state requirements.
Respond promptly and professionally to internal requests for medical-records assistance.
Support intake and front-office staff with records-related duties as needed.
Maintain strict confidentiality and report any suspected privacy or security concerns immediately.
Perform other related duties as assigned.

Required Qualifications

High school diploma or equivalent.
At least one year of experience in medical records, health information management, or a related healthcare administrative position.
Working knowledge of HIPAA privacy and security requirements.
Experience using electronic health record systems.
Proficiency with Microsoft Office applications.
Strong organizational, data-entry, and time-management skills.
Excellent attention to detail and accuracy.
Ability to manage multiple priorities and meet established deadlines.
Ability to handle confidential and sensitive information with discretion and professionalism.
Effective written and verbal communication skills.

Preferred Qualifications

Experience working in a behavioral health or substance use disorder treatment setting.
Familiarity with 42 CFR Part 2 confidentiality requirements.
Experience processing releases of information and responding to legal records requests.
RHIT certification or coursework in health information management.
