Full Job Description

Position Summary

Bridges Behavioral Health is seeking a dependable, organized, and compassionate Administrative Assistant / Office Coordinator to support the day-to-day operations of our behavioral health practice.

The ideal candidate is professional, personable, detail-oriented, and comfortable working in a confidential healthcare environment. This position serves as an important first point of contact for patients and helps ensure that our providers and office operations run smoothly and efficiently.

Essential Duties and Responsibilities

Greet patients and visitors in a warm, respectful, and professional manner
Answer incoming phone calls, emails, and general inquiries
Schedule, confirm, and coordinate patient appointments
Maintain accurate and confidential patient information and records
Assist with intake paperwork, forms, releases, referrals, and other administrative documents
Coordinate communication between patients, providers, and other members of the practice
Manage calendars and assist with coordinating provider schedules
Process incoming and outgoing correspondence
Assist with billing, insurance information, payments, and administrative follow-up as needed
Maintain an organized, welcoming, and professional office environment
Monitor office supplies and place orders when necessary
Assist with scanning, filing, data entry, copying, and other administrative tasks
Support providers with routine administrative needs
Follow HIPAA and all applicable privacy and confidentiality requirements
Handle sensitive and sometimes difficult patient interactions with patience, professionalism, and compassion
Help identify office workflow issues and contribute ideas for improving efficiency
Perform other administrative duties as needed to support the practice
Ability to work Monday-Friday during office hours.

Qualifications

High school diploma or equivalent required; a two-year college degree is a plus
Previous administrative, receptionist, medical office, or customer service experience required
Experience in a behavioral health or healthcare setting is a plus
Strong organizational and time-management skills
Excellent verbal and written communication skills
Professional, compassionate, and respectful approach to working with patients
Ability to maintain strict confidentiality
Comfortable learning electronic health records and office software
Strong attention to detail and accuracy
Reliable attendance and dependable work habits
Ability to work independently while also being a positive and collaborative member of a team
