Full Job Description

Accounts Payable Specialist, Full Time

The Accounts Payable Specialist works within the Accounting Department and works in a team with the Accountants and Director of Accounting. It is a full cycle Accounts Payable position processing a high volume vendor invoices. This process includes invoice review, PO matching, GL coding, credit card reconciliation, weekly check runs, 1099 processing for two companies.

Goals of position:

Ensure correct invoicing through verification of receipts;
Further enhance the Expense Reporting & A/P procedures by gaining efficiencies where able and improving accuracy through process improvement;
Accurate & timely posting of payables;
Control expenses through analysis & verification of invoices and expense reports;
Protect organization by keeping information confidential;
Maintain strong vendor relationships through effective communication.

RESPONSIBILITIES

Responsible for large volume full Accounts Payable cycle.
Reviewing monthly invoices for accuracy & appropriate documentation, PO matching, GL coding, & data entry for two companies.
Process full cycle weekly check runs. To include matching aged payable reports to invoices, selecting & printing, & distributing/mailing checks.
Weekly Check run and ACH payment.
Scanning checks and invoices to drive after checks are done.
Reconcile Credit Card statements with receipts.
Reconcile vendor monthly statements
Answer vendor inquiries
Prepare & process 1099s annually
Provide copies & documentation for year-end audit
Maintenance vendor set up
Maintain all Accounts Payable reports, spreadsheet, invoices & vendor files.
Perform other duties as assigned

QUALIFICATIONS

2+ years’ experience processing A/P in a high-transaction volume environment
High level of attention to detail & accuracy
Excellent Communication skills, both verbal & written
Strong Organizational & time management skills
Strong knowledge of Accounts Payable principles and processes, including 3-way matching.
Basic knowledge and understanding of General Accounting Principles.
Basic knowledge of business principles and processes.
Microsoft Operating System and Office Applications, including strong Excel skills.
Business Accounting software experience.
Ability to work independently and as part of a team
Filing and document management.

Pay: $24.00 - $27.00 per hour
