Full Job Description

Summary:

CW Metals is a trusted leader in the metal recycling industry, committed to sustainability, employee growth, and promoting from within. We recognize that accurate reconciliation of loads, transactions, and vendor accounts is vital to ensuring confidence, compliance, and seamless yard operations.

The Accounts Settlement Coordinator will be detail-oriented and dependable, responsible for daily reconciliation of commercial and dealer accounts, validation of inbound loads, and communication of discrepancies with buyers and vendors. This position also provides critical operational support through cross-training with the Scale House and coordination with the sales and transportation teams.

This role connects financial accuracy with operational reliability, ensuring vendors are paid correctly, loads are documented properly, and buyers and operations staff have the information they need to keep scrap moving safely and efficiently.

Essential Duties and Responsibilities:

Paying customers and providing backup support for the Scale Operator, including answering calls, weighing inbound/outbound vehicles, issuing scale tickets, and directing yard traffic safely.
Partner with buyers, sales, and operations to resolve discrepancies in weights, grades, or pricing.
Support facility safety and operational readiness by reconciling all inbound loads against vendor/customer scale tickets, payments, and identifying and documenting discrepancies.
Enter purchase orders, confirm pricing, and create complete transactions for Buyers and Vendors.
Maintain accurate transaction records for regulatory compliance and internal control standards.
Communicate proactively with drivers and vendors regarding required documentation and reconciliation corrections via radio, phone, and email.
Monitor and update spreadsheets and other software for account tracking, load reconciliation, and operational reporting.
Collaborate with operations and safety teams to ensure compliance with DOT, OSHA, and environmental standards during scale and reconciliation activities.
Assist with customer service by answering calls, providing directions, and supporting inbound/outbound logistics coordination.
Perform other reconciliation, administrative, and cross-departmental duties as assigned.

Education and/or Experience

High school diploma or equivalent required.
Associate’s degree or higher in Accounting, Finance, or a related field is preferred.
2+ years of experience in reconciliation, accounting, or operations support.
Strong attention to detail, accuracy, and organizational skills.
Excellent verbal and written communication skills for internal teams, vendors, and drivers.
Proficiency with Microsoft Excel and Google Sheets; ability to learn industry-specific systems.
Accurate and precise data entry skills.
Ability to work effectively in a fast-paced scrap yard environment with competing demands.
Commitment to confidentiality, integrity, and professional communication.
Ability to learn and retain knowledge and customer patters.
Ability to think forwardly to apply processes to their work in the efforts of customer satisfaction and job awareness.

Language Skills

The Accounts Settlement Coordinator must be able to read, interpret, and analyze scale tickets, purchase orders, and vendor documentation. Strong written and verbal communication skills are essential for effectively and professionally relaying discrepancies to buyers, coordinating with vendors and drivers, and documenting reconciliations clearly. The ability to prepare concise emails, financial reports, and operational notes ensures that information is shared accurately with customers, accounting, operations staff, and managers.

Mathematical Skills

This role requires the ability to apply intermediate mathematical concepts used in reconciliation and inventory management. The Coordinator must accurately calculate weights, pricing, credits, and adjustments on vendor/customer loads, while identifying discrepancies between scale tickets and documentation. Comfort with percentages, unit conversions, and price-per-ton calculations is critical for ensuring accurate settlements and transparent reporting.

Reasoning Ability

The successful candidate must be able to think on their feel well and exercise expedient yet sound judgment. Knowledgeable and logical problem-solving when resolving discrepancies, interpreting vendor paperwork, or investigating load variances are absolute imperatives to this role. This role requires the ability to analyze complex or high-volume transactions, determine appropriate corrective action, and escalate issues when necessary. Strong reasoning ability ensures consistent, compliant, and error-free reconciliation processes that support operational efficiency.

Computer Skills

Proficiency with Microsoft Excel and Google Sheets is required for account tracking, load reconciliation, and reporting. Familiarity with accounting or ability to learn internal systems is required, as is the ability to quickly learn scrap yard scale systems. The Coordinator must also be comfortable using email, digital filing systems, and able to manage databases for documentation and accurate transaction records.

Physical Demands & Work Environment

This position is primarily office-based and involves extended periods of sitting, frequent computer use, and handling of documents. Employees are expected to maintain an organized workspace, use proper ergonomics, and practice safe lifting and movement to prevent injuries. Occasional movement between the office, scale house, and yard requires attention to surroundings and strict adherence to safety protocols, particularly around heavy equipment and truck traffic. Employees are responsible for promptly addressing potential hazards and supporting a safe, injury-conscious work environment.
