A growing multifamily property management organization is seeking an experienced Senior Property Manager to oversee four communities in Tacoma, Washington. Additional information about the company and portfolio will be shared with qualified candidates during the interview process.
This role is ideal for a highly motivated, sales-forward multifamily leader who can drive occupancy, strengthen revenue, control expenses, develop teams, and improve property performance. The successful candidate must be equally comfortable leading leasing, resident relations, financial operations, maintenance, compliance, and physical asset performance.
This is a hands-on leadership role for someone who creates structure, solves problems, establishes clear expectations, and takes full ownership of results. The Senior Property Manager will lead both office and maintenance teams, including direct oversight of the Maintenance Supervisor and maintenance personnel.
Position Summary
The Senior Property Manager is responsible for the operational, financial, leasing, maintenance, and resident-service performance of four multifamily communities. This individual will provide leadership to onsite teams, establish consistent standards, monitor performance, identify operational gaps, and implement measurable action plans.
This is not a desk-only position. The Senior Property Manager will maintain a visible presence across the portfolio, inspect property conditions, review vacant homes, monitor leasing activity, coach team members, and ensure commitments are completed.
Key ResponsibilitiesPortfolio Leadership and Operations
- Oversee daily operations and performance across four multifamily communities.
- Establish consistent standards, accountability, and operating practices throughout the portfolio.
- Conduct regular property visits, inspections, financial reviews, and team meetings.
- Identify operational deficiencies and implement corrective action plans.
- Prioritize needs based on urgency, resident impact, financial performance, and risk.
- Maintain clear communication with executive leadership, ownership representatives, vendors, residents, and team members.
- Ensure each property is organized, responsive, compliant, and positioned to meet performance goals.
Team Leadership and Development
- Lead, coach, develop, and hold accountable onsite office and maintenance teams.
- Directly manage the Maintenance Supervisor and ensure the maintenance department operates efficiently, safely, and professionally.
- Set clear expectations for leasing, customer service, collections, work orders, unit turns, preventive maintenance, documentation, and property appearance.
- Conduct regular one-on-one meetings, team meetings, and performance reviews.
- Address performance concerns promptly and professionally.
- Support recruiting, interviewing, onboarding, training, and retention.
- Build a culture of urgency, ownership, teamwork, professionalism, and follow-through.
- Lead by example and maintain a visible, engaged presence across the portfolio.
Leasing, Sales, and Occupancy
- Lead leasing strategy and sales performance across all four communities.
- Establish standards for lead response, appointment setting, tour quality, follow-up, application conversion, closing, and move-ins.
- Review traffic, tours, applications, approvals, cancellations, occupancy, exposure, and closing ratios.
- Coach leasing team members on discovery, value selling, urgency creation, objection handling, and closing.
- Maintain a sales-forward culture focused on measurable results.
- Review pricing, concessions, lease expirations, renewals, availability, and unit delivery timelines.
- Evaluate leasing performance by property, employee, unit type, lead source, and marketing channel.
- Conduct market surveys and maintain knowledge of Tacoma-area rents, concessions, availability, and competitor activity.
- Develop outreach opportunities with local employers, brokers, relocation contacts, businesses, and community partners.
- Step directly into leasing activity when additional leadership or closing support is needed.
- Ensure all leasing activity is entered accurately and timely in Yardi.
Revenue and Resident Retention
- Drive revenue through disciplined pricing, renewal, collection, and expense-management practices.
- Review market rents, loss to lease, concessions, vacancy loss, bad debt, renewal increases, and ancillary income.
- Ensure renewal offers are issued accurately and on schedule.
- Develop strategies to improve retention while protecting revenue.
- Review notices, transfers, cancellations, and early terminations for trends and opportunities.
- Identify recurring resident-service issues that may affect renewals or reputation.
- Balance occupancy goals with long-term asset value and sustainable revenue growth.
Maintenance and Physical Asset Leadership
- Provide direct oversight to the Maintenance Supervisor and maintenance team.
- Establish standards for work-order response, emergency service, unit turns, preventive maintenance, inspections, inventory, vendor use, and resident communication.
- Meet regularly with maintenance leadership to review staffing, work orders, turns, vendor activity, safety concerns, and property priorities.
- Monitor work-order completion times, callbacks, recurring issues, and resident satisfaction.
- Ensure vacant homes are turned quickly, professionally, and within established timelines.
- Walk vacant homes and inspect completed turns for quality, cleanliness, functionality, and market readiness.
- Coordinate leasing and maintenance teams regarding unit availability and delivery dates.
- Ensure maintenance personnel troubleshoot and resolve issues appropriately before outsourcing work.
- Review bids, invoices, scopes of work, vendor performance, and completed projects.
- Maintain appropriate controls for parts, supplies, tools, keys, and inventory.
- Ensure strong curb appeal, clean common areas, functioning amenities, professional offices, and safe exterior conditions.
- Identify deferred maintenance and develop prioritized correction plans.
- Support capital project planning, budgeting, scheduling, implementation, and quality control.
- Respond appropriately to emergencies and ensure follow-up documentation is completed.
Financial Management and Budgeting
- Prepare, manage, and monitor annual operating budgets.
- Review monthly financial statements, general ledgers, variance reports, rent rolls, delinquency reports, aged receivables, accounts payable, and operational reports.
- Provide accurate and meaningful explanations for budget variances.
- Monitor financial performance throughout the month and identify emerging risks or opportunities.
- Review invoices for accurate coding, allocation, authorization, and timing.
- Monitor payroll, overtime, utilities, contracts, repairs, maintenance, turnover costs, and vendor expenses.
- Implement expense controls without compromising safety, service, or asset quality.
- Prepare forecasts, reforecasts, accruals, and variance narratives as required.
- Track capital projects and major repairs against approved budgets.
- Review move-out charges, collections, write-offs, bad debt, and resident account activity.
- Translate financial data into clear operational action plans.
- Communicate financial results professionally to leadership and ownership.
Yardi and Systems
- Use Yardi Voyager proficiently for leasing, resident accounts, financial review, budgeting, work orders, purchase orders, payables, and portfolio reporting.
- Generate and analyze rent rolls, occupancy reports, leasing reports, delinquency reports, aged receivables, financial statements, unit availability, and work-order reports.
- Audit resident ledgers, charges, deposits, concessions, renewals, notices, move-ins, and move-outs.
- Ensure property teams complete required workflows accurately and on time.
- Train and coach employees on proper Yardi procedures.
- Identify incomplete workflows, inaccurate reporting, coding errors, or documentation gaps and ensure they are corrected.
- Maintain proficiency with Microsoft Excel, Outlook, Word, and other reporting platforms.
Collections and Delinquency
- Maintain consistent oversight of collection activity across all four properties.
- Review delinquency reports frequently and require clear notes, communication history, payment commitments, and next steps.
- Hold teams accountable for timely outreach and documentation.
- Monitor payment arrangements and ensure broken commitments are addressed.
- Coordinate with legal counsel, assistance agencies, and housing providers when appropriate.
- Review bad debt, write-offs, collection placement, and recurring delinquency trends.
- Ensure all practices comply with applicable laws, leases, and company procedures.
- Develop corrective plans when delinquency exceeds acceptable levels.
Resident Experience
- Ensure residents receive professional, responsive, and respectful service.
- Monitor complaints, escalations, service requests, and recurring concerns.
- Step into complex resident matters when leadership involvement is required.
- Ensure teams communicate clearly and follow through on commitments.
- Evaluate service failures and implement corrective action.
- Support retention through reliable maintenance, consistent communication, and professional problem-solving.
- Ensure resident decisions are applied fairly and consistently.
Compliance and Risk Management
- Ensure compliance with Fair Housing requirements, landlord-tenant laws, lease documents, company policies, and applicable regulations.
- Maintain accurate resident, applicant, employee, vendor, and property records.
- Ensure notices, leases, renewals, addenda, and resident communications are completed accurately.
- Support audits, file reviews, inspections, and corrective-action requirements.
- Ensure incidents, injuries, property damage, and safety concerns are documented and escalated appropriately.
- Identify liability concerns and take prompt action to reduce risk.
- Maintain professional conduct, confidentiality, and consistency across the portfolio.
Vendor and Contract Management
- Establish professional relationships with qualified vendors and service providers.
- Review contracts, scopes of work, pricing, insurance, and performance expectations.
- Require competitive bids when appropriate.
- Confirm vendor work is authorized, completed, inspected, and documented before payment.
- Monitor recurring contracts for quality, cost, necessity, and compliance.
- Identify opportunities to consolidate services, reduce costs, or improve performance.
Required Qualifications
- Minimum of five years of progressive multifamily property management experience.
- Prior experience as a Property Manager, Senior Property Manager, Multi-Site Property Manager, Portfolio Manager, or comparable leader.
- Experience overseeing multiple properties or a large, complex community.
- Proven experience leading both office and maintenance teams.
- Experience directly managing a Maintenance Supervisor or senior maintenance leader.
- Strong leasing, sales, closing, and occupancy-management experience.
- Advanced proficiency with Yardi Voyager.
- Strong budgeting, forecasting, financial reporting, and variance-analysis skills.
- Ability to read and interpret property financial statements.
- Experience managing collections, delinquency, resident accounts, and revenue performance.
- Strong knowledge of unit turns, work orders, preventive maintenance, vendor management, and physical property operations.
- Demonstrated ability to develop employees and improve team performance.
- Excellent organizational, communication, and problem-solving skills.
- Working knowledge of Fair Housing and professional multifamily operating practices.
- Valid driver’s license, reliable transportation, and ability to travel regularly between Tacoma-area properties.
- Ability to participate in emergency response and after-hours escalation when necessary.

- Experience with conventional, affordable, value-add, renovation, stabilized, or lease-up properties.

- Strong knowledge of the Tacoma multifamily market.
- Washington property management experience.
- CAM, CAPS, CPM, ARM, or similar industry certification.

Schedule and Travel
This is a full-time, in-person leadership position based in Tacoma, Washington. Regular travel between the four assigned communities is required. Occasional evening or weekend availability may be necessary for emergencies, staffing needs, resident events, leasing activity, or other business priorities.
