Full Job Description

The Accounts Payable Clerk will be tasked with receiving, opening, and logging invoices on the ledger, as well as other duties like reconciliations, accounts payable invoice and data entry, etc. A successful Accounts Payable Clerk must have a good understanding of payments, the accounting process, and budgeting. Specific tasks for the Accounts Payable Clerk include, but are not limited to:

Invoice Processing/Management

Ensure that invoices are approved for payment by the applicable manager if necessary.
Enter invoices daily
Sort, Code & File invoices appropriately.
Identify and investigate any unusual or questionable invoice items or prices.
Research and resolve invoice discrepancies and issues
Monitor vendor accounts to ensure payments are made timely.
Prepare daily deposits.

New/Used Car Entry & Dealer Trades

Enter all new vehicles into DMS when new vehicle invoices are available

Checks

Prepare and perform check runs each week on Thursdays.
Prepare and process electronic payments as necessary.

General Journal Maintenance

Post transactions to journals, ledgers and other records as necessary.
Monitor select schedules
Month end entries

F&I Payment Administration & Deal Entry

Maintain vendor files
Correspond with vendors and respond to inquiries
Assist with month/year end closing as necessary
Maintain confidentiality of organizational information
Maintain W9 forms necessary for year-end filings
Maintain Certificates of Insurance necessary for compliance.
Perform related duties as assigned within the scope of Accounts Payable.

Dealer Track experience preferred
Accounting experience preferred
Strong attention to detail
Excellent verbal and written communication skills
Solid organizational and multitasking skills
An awesome attitude with impeccable interpersonal skills
Strong problem-solving skills
The ability to work independently as well as in a team setting
