Administrative Assistant

Hoodz is looking for a dependable and detail-focused Administrative Assistant to support our leadership team while managing key administrative and financial responsibilities. This role is perfect for someone who thrives on organization, accuracy, communication, and taking ownership of important business processes.

What You’ll Do

As our Admin Assistant, you will play a vital role in supporting daily operations by managing administrative tasks, financial processes, reporting, and communication between leadership, customers, vendors, and team members.

Administrative & Executive Support

Manage calendars, scheduling, and daily administrative priorities.
Coordinate technician schedules and assist with operational planning.
Prepare weekly reports, meeting updates, and business documentation.
Maintain organized records and complete accurate data entry.
Handle confidential information with professionalism and discretion.

Financial & Accounting Support

Process customer and vendor invoices accurately and efficiently.
Enter and track payments received through checks, ACH, and credit card payments.
Prepare payments through checks, ACH, and wire transfers.
Reconcile accounts payable and accounts receivable transactions.
Monitor outstanding balances and assist with resolving discrepancies.
Prepare financial reports, aging summaries, and payment tracking.

Relationship Management

Communicate professionally with customers, vendors, technicians, and internal teams.
Maintain strong vendor relationships and assist with payment inquiries.
Support a positive, collaborative office culture.

What We’re Looking For

Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Experience with bookkeeping, accounting, or administrative support.
Knowledge of accounts payable and accounts receivable processes.
Strong communication and problem-solving abilities.
Ability to manage multiple priorities and meet deadlines.
Professional, dependable, and trustworthy.
Experience with QuickBooks online is MANDATORY
