Accounts Payable and Payroll Specialist

Job Summary

The Accounts Payable and Payroll Specialist is responsible for managing the organization's accounts payable process and ensuring accurate and timely payroll processing. This role requires strong attention to detail, knowledge of accounting principles, and the ability to maintain confidentiality while ensuring compliance with company policies and applicable laws.

Key Responsibilities

Accounts Payable

Process vendor invoices accurately and in a timely manner.
Match invoices with purchase orders and receiving documents.
Prepare and process electronic payments, and checks.
Reconcile vendor statements and resolve payment discrepancies.
Maintain vendor records and process new vendor setups.
Respond to vendor inquiries regarding payments and account status.
Assist with month-end and year-end closing activities.
Maintain organized financial records and documentation.

Payroll

Process weekly payroll accurately and on schedule.
Review employee timecards and attendance records for accuracy.
Process employee benefit deductions, garnishments, and tax withholdings.
Maintain confidential employee payroll records.
Assist employees with payroll-related questions and resolve discrepancies.
Support year-end payroll activities, including W-2 preparation and payroll reconciliations.

Qualifications

High School Diploma or GED and 10+ years of relevant experience, OR an Associate's/Bachelor's degree in Accounting, Finance, Business Administration, or a related field and 5-7 years of experience in accounts payable and payroll processing.
Experience with accounting and payroll software
Advanced skills in Microsoft Excel and Microsoft Office Suite.
Excellent organizational, analytical, and problem-solving skills.
High level of accuracy and attention to detail.

Preferred Skills

Experience with ERP systems.
Strong communication and customer service skills.
Ability to manage multiple priorities and meet deadlines.

Physical Requirements

Ability to work at a computer for extended periods.
Occasionally lift up to 20 pounds.
Ability to sit, stand, and perform routine office tasks.
