Full Job Description

Position Summary

The Psychiatric Support Services Medical Assistant plays a vital role in supporting our Psychiatrist and care team to ensure the efficient, compassionate, and high-quality operation of the Psychiatric Support Services Clinic. This position blends administrative, clinical, and care coordination responsibilities in a collaborative, mission‑driven environment focused on the well-being of children, adolescents, and their families.

Essential Duties & Responsibilities

Duties may include, but are not limited to, the following:

Clinical & Patient Support

Prepare for and support weekly psychiatry clinics, ensuring all paperwork, records, and materials are organized and ready
Measure and document patient vitals in the Electronic Health Record (EHR)
Reconcile medications and support the physician during clinic visits
Escort clients to exam rooms and prepare them for appointments
Provide education to patients, guardians, and families as appropriate
Maintain cleanliness and organization of exam rooms and medical equipment

Administrative & Coordination Duties

Utilize the Electronic Health Record (EHR) to manage medication activities, consent forms, and authorizations
Operate RxNT E‑Prescriber and liaise with pharmacies to ensure medications are filled accurately and on time
Complete prior authorizations as needed
Request and manage medical records
Prepare, track, and ensure completion of required documentation, including:
JV‑220 forms
Laboratory orders and results
Referrals
Prepare Transfer of Care letters at the physician’s request

Case Management & Communication

Provide and document case management services
Communicate with clients and families to remind and confirm appointments
Answer phones and perform general office duties such as scanning, copying, and faxing

Additional Responsibilities

Support smooth daily clinic operations by performing additional duties as assigned
