Full Job Description

We are seeking a professional, customer-focused, and highly organized Front Desk Coordinator to serve as the primary patient-facing contact across our Kendall and Fort Myers clinic locations.

This is a travel-required role that operates on a rotating biweekly schedule between both clinic locations. The ideal candidate is compassionate, detail-oriented, bilingual, and comfortable managing a fast-paced front desk environment in a high-volume personal injury practice.

The Front Desk Coordinator will play a key role in creating a positive patient experience while ensuring efficient front desk operations, accurate patient information, and effective communication with patients and clinical staff.

Clinic Schedule & Travel Requirements

This position requires regular travel between both clinic locations according to the following rotating schedule:

Fort Myers: Every other Tuesday
Kendall (Miami): Every other Wednesday
Both locations operate on the same biweekly rotation.

The selected candidate must be flexible and available to travel between Kendall and Fort Myers as required by the clinic schedule.

Responsibilities & Qualifications

Required: Availability and willingness to regularly travel between the Kendall and Fort Myers clinic locations according to the rotating biweekly schedule.
Required: Fully bilingual in English and Spanish, with strong verbal and written communication skills in both languages.
Serve as the primary point of contact for patients, visitors, and healthcare providers.
Welcome, check in, and assist patients in a courteous, compassionate, and professional manner.
Verify and update patient demographics, insurance information, and identification.
Manage patient check-out and collect applicable payments.
Answer, triage, and appropriately direct incoming phone calls and patient inquiries.
Schedule, confirm, and reschedule patient appointments as needed.
Assist patients with intake forms and general office questions.
Coordinate closely with clinical staff to maintain efficient patient flow and a positive patient experience.
Escalate urgent patient concerns to the appropriate clinical staff when necessary.
Manage daily front desk operations and maintain a professional and organized reception area.
Maintain appointment calendars and coordinate provider schedules.
Scan, file, and accurately update patient and medical records.
Handle medical records requests in coordination with the records team.
Process incoming mail, faxes, and other office correspondence.
Maintain patient confidentiality and handle sensitive information appropriately in accordance with HIPAA regulations.
Maintain professionalism, accuracy, and a patient-first attitude during high-volume periods.
High school diploma or equivalent required.
Previous experience in a medical office, healthcare setting, or high-volume front desk environment preferred.
Experience in a personal injury, medical, or legal-related practice is a plus.
Knowledge of medical terminology, insurance verification, patient intake, and payment collection processes is preferred.
Familiarity with EMR/EHR systems is a plus.
Strong customer service, interpersonal, and communication skills.
Professional phone etiquette and the ability to manage a high volume of calls and inquiries.
Ability to multitask, prioritize responsibilities, and work independently.
Strong attention to detail, organizational skills, and problem-solving abilities.
Proficiency in Microsoft Office and basic office equipment.
Comfortable adapting to the workflow and needs of both clinic locations.

Pay: $16.00 - $19.00 per hour
