Full Job Description

Tutor Doctor is seeking a highly organized, proactive, and customer-focused Client Care & Operations Manager to help oversee the day-to-day operations of our growing tutoring business.

This is a unique opportunity for someone who enjoys wearing many hats, working independently, building relationships, solving problems, and making a meaningful impact on students and families.

The ideal candidate is equally comfortable communicating with parents, supporting tutors, managing administrative processes, analyzing reports, and helping ensure every family has an exceptional experience.

This position is primarily remote, but applicants must reside in the Richmond Metro area and be available for occasional in-person meetings, school events, and community outreach opportunities.

You'll serve as the primary point of contact for families and tutors while managing many of the operational activities that keep the business running smoothly.

What You'll Do

Client Care

Build and maintain positive relationships with families
Regularly check in with clients regarding scheduling, progress, and satisfaction
Respond promptly to emails, texts, and phone calls
Help ensure families receive a high level of service and support
Match students with tutors based on academic needs, personality, schedules, and learning goals

Tutor Recruitment & Management

Screen, interview, and vet prospective tutors
Conduct tutor onboarding
Maintain tutor records and documentation
Support tutors with scheduling and operational questions
Monitor tutor performance and reliability
Recruit tutors when specific subject needs arise

Operations & Administration

Review and approve tutoring session reports
Track enrollments and tutoring hours
Prepare reports and information used for monthly billing
Maintain accurate records within our franchise management platform
Enter new enrollments and update client information
Generate and review operational reports
Ensure data accuracy across systems

Communications & Marketing

Create and distribute monthly client newsletters
Create and distribute quarterly tutor newsletters
Assist with social media efforts (Facebook and Instagram experience is a plus but not required)
Represent Tutor Doctor at occasional school and community events

Qualifications

Required

Excellent customer service and communication skills
Strong organizational and time-management abilities
Ability to work independently with minimal supervision
Strong attention to detail
Sound judgment and common sense
Comfortable learning and using business software systems
Proficiency with Microsoft Office and/or Google Workspace
Ability to manage multiple priorities simultaneously
Residence within the Richmond Metro area
Reliable transportation

Preferred

Bachelor's degree
Experience in office management, operations, customer success, client services, program coordination, education, tutoring, or school administration
Experience with Excel and reporting
Social media experience
Teaching or tutoring experience
