Job Overview
We are seeking a dynamic and organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional support to staff and visitors alike. Responsibilities

Greet visitors and manage front desk operations with professionalism and warmth
Handle multi-line phone systems, directing calls accurately and courteously
Perform data entry, filing, and document proofreading to maintain organized records
Manage calendar appointments, schedule meetings, and coordinate events efficiently
Support bookkeeping tasks using QuickBooks or similar accounting software
Assist with office management duties including supply inventory and equipment maintenance
Provide exceptional customer service by addressing inquiries promptly and effectively
Support clerical tasks such as typing correspondence, managing emails, and supporting administrative projects

Skills

Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading
Effective phone etiquette with experience managing multi-line phone systems and providing customer support
Bilingual abilities are highly desirable to serve diverse client needs effectively
Prior office experience or administrative experience is preferred, especially in medical or dental reception settings
Knowledge of office management practices including filing systems, calendar management, and supply ordering
Strong time management skills to prioritize tasks efficiently in a fast-paced environment
Personal assistant or medical receptionist experience is a plus but not required
