About CCAT: Connecticut Center for Advanced Technology (CCAT) is a manufacturing technology innovation and readiness center focused on helping manufacturers adopt advanced technologies and strengthen their operations. We work with companies across manufacturing and industrial supply chains to evaluate, implement, and integrate the adoption of digital, 3D printing and other critical technologies. Position Title: Events & Marketing Specialist
Why This Role Matters: The Events & Marketing Specialist plays a key role in planning and supporting a wide range of CCAT events including conferences, tradeshows, trainings, webinar, and tours. This is a highly collaborative, hands-on role requiring strong organizational skills, attention to detail, customer service and the ability to manage multiple priorities in a fun and fast-paced environment.
How You’ll Make an Impact:
Event Management
- Support the Events & Projects Manager in planning and execution of conferences, tradeshows, trainings, demonstrations, tours, meetings, and webinars by coordinating logistics, tracking timelines and deadlines, maintaining event documentation, and communicating updates with internal and external stakeholders.
- Independently manage assigned events, exercising discretion and independent judgment in determining priorities, logistics, vendor selection, and resource allocation.
- Collaborate with internal teams, technology partners, vendors, sponsors, external event stakeholders to review event objectives, logistics, timelines, and requirements.
- Develop and manage internal and external run of show documents and meetings as needed.
- Maintain event supply inventory and reorder marketing materials as needed.
- Manage the setup and breakdown of event spaces, including moving and arranging tables, chairs, décor, staging, marketing materials, signage, presentations and equipment.
- Operate and troubleshoot AV equipment, including microphones, TVs, speakers, and cameras.
- Assist with event registration, greeting guests, and processing check-ins through the kiosk badging system.
- Support live virtual and in-person events by managing Zoom webinars, monitoring chat and Q&A functions, overseeing recordings, and resolving logistical or technical issues as they arise.
- Lead post event meetings with internal and external teams to gather feedback, review outcomes, and identify areas of improvement.
- Maintain event records in CRM and SharePoint; review dashboards and reports to ensure data and reporting accuracy.
- Prepare and distribute event reports and performance metrics.
Marketing & Comms
- Collaborate with Marketing & Communications team to produce event assets.
- Partner with Marketing & Communications team, and internal and external event partners, to support event promotion and coordinate marketing materials.
- Evaluate marketing and promotional opportunities and recommend communication approaches to maximize audience engagement and participation.
- Develop and produce marketing and communications content that supports organizational events, programs, and strategic initiatives
- Manage and maintain marketing collateral, digital assets, and communication resources, ensuring effective organization, accessibility, and brand compliance
- Independently manage assigned projects with minimal supervision, determining appropriate processes, timelines, and resource requirements
- Analyze event and marketing performance metrics and provide recommendations for process improvements and future planning.
- Serve as a subject matter resource on event planning, audience engagement, and promotional strategies.
- Collaborate on the development and implementation of event and marketing strategies aligned with organizational goals.
General
- Adhere to all CCAT safety policies and procedures to maintain a safe and compliant work environment.
- Perform all other duties as assigned.
Education: Associate’s degree in Marketing or Event Management, or related field/experience.
What Helps You Succeed:
- Minimum of 5+ years of experience in managing events, or business operations programs requiring independent judgment and project ownership.
- Strong communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom.
- Excellent attention to detail and organizational skills.
- Ability to multitask and prioritize in a fast-paced environment with shifting priorities.
- Proactive, and solution-oriented mindset; comfortable taking initiative and asking questions.
- Comfortable performing hands-on tasks, including event setup and equipment handling.
- Strong knowledge of AV systems and technology (microphones, speakers, displays, presentation systems).
- Collaborative team player with a positive attitude and strong work ethic.
- Must be a U.S. person as defined by U.S. export control regulations and able to comply with all applicable export control requirements.
Nice to Haves:
- Experience with event registration and management tools (JotForm)
- Familiarity with Salesforce or similar CRM systems.
- Experience setting up and running Zoom webinars, including configuring panelists, registration, surveys, and recordings.
- Experience with SharePoint similar collaboration tools.
- Graphic design or presentation design skills (Canva, PowerPoint, Adobe).
What the Work Environment Looks Like: This role is typically on-site Monday through Friday, with some early morning or evening hours required to support scheduled events. The position involves regular in-person interaction with staff, partners, vendors, and guests. The role requires the ability to stand, sit, walk, bend, kneel, and lift for extended periods during event setup, execution, and breakdown. The role requires the ability to lift and transport event materials weighing up to 50 pounds (event equipment, marketing materials, supplies). This role requires the ability to push and pull rolling carts, technology equipment and equipment cases. Occasional local travel may be required for off-site events and partner meetings.
