Customer Service Representative – Manufacturing

The Customer Service Representative serves as the primary point of contact for customers regarding orders, product information, production timelines, and delivery status. This role works closely with Sales, Production, Engineering, and Logistics to ensure accurate order processing, timely communication, and high levels of customer satisfaction in a fast-paced manufacturing environment.

What You Will Contribute:

· Provide exceptional customer service by responding to customer inquiries via phone, email, and other communication channels in a professional and timely manner.

· Serve as the primary contact for customers regarding order status, product availability, production lead times, and shipping updates.

· Process and enter customer orders accurately, reviewing specifications, pricing, lead times, and special requirements.

· Generate quotations, confirm pricing, and prepare order acknowledgments.

· Coordinate with Production, Scheduling, Warehouse, and Shipping teams to ensure timely and accurate order fulfillment.

· Communicate lead times, backorders, production delays, and delivery updates proactively to customers.

· Assist customers with product inquiries, including specifications, materials, customization options, and appropriate applications.

· Resolve customer concerns related to order discrepancies, quality issues, shipping errors, returns, and warranty claims in coordination with Quality and Operations teams.

· Support the Return Material Authorization (RMA) process and ensure proper documentation is completed and maintained.

· Maintain accurate customer records, order information, and communications within ERP and CRM systems.

· Monitor open orders and proactively follow up to ensure on-time delivery and customer satisfaction.

· Collaborate with Sales, Production Planning, Engineering, and Logistics to ensure customer requirements are met.

· Assist with inventory checks, product availability inquiries, and supply chain coordination when required.

· Document customer interactions and feedback to support continuous improvement initiatives.

· Participate in process improvement efforts to enhance customer service efficiency and operational performance.

Qualifications & Competencies:

Strong computer proficiency with the ability to learn and utilize ERP, MRP, and CRM systems.

Understanding of manufacturing processes, production scheduling, and supply chain fundamentals preferred.

Excellent written and verbal communication skills with a professional, customer-focused approach.

Strong attention to detail when reviewing orders, specifications, and part numbers.

Ability to multitask and prioritize effectively in a fast-paced manufacturing environment.

Strong problem-solving skills with the ability to coordinate across departments to resolve issues.

Excellent organizational skills with the ability to manage multiple orders and deadlines simultaneously.

Professionalism, patience, and the ability to effectively manage challenging customer situations.

Preferred Experience:

Previous experience in a manufacturing or industrial environment.

Experience working with ERP/MRP systems (such as SAP, Oracle, NetSuite, or Epicor).

Familiarity with interpreting product specifications, technical drawings, or Bills of Materials (BOMs).

Knowledge of shipping and logistics processes, freight terms (FOB), and order tracking procedures.
