Office Manager / Administrative Manager

DILL Landscaping & Fence Company is seeking an experienced, organized, and proactive Bilingual Office Manager / Administrative Manager to support the continued growth of our family-owned landscaping and fence company.

This position will play a key role in improving company organization, managing administrative operations, coordinating internal processes, and ensuring effective communication between customers, office staff, sales team, warehouse, vendors, and field crews.

The ideal candidate is a detail-oriented professional with strong organizational skills, leadership ability, and experience managing multiple administrative functions in a fast-paced environment.

Responsibilities include:

Oversee daily office operations and administrative processes.

Manage customer communications, scheduling, follow-ups, and service coordination.

Support sales operations, including proposals, customer documentation, and follow-up processes.

Maintain organized company records, contracts, employee documents, and administrative files.

Coordinate purchasing, vendor communication, and material/supply tracking.

Assist with warehouse organization, inventory control, and coordination with field crews.

Support employee onboarding, hiring documentation, and administrative HR processes.

Coordinate insurance documentation, certifications, and company compliance requirements.

Assist with payroll preparation, invoicing, accounts payable/receivable coordination, and communication with the accountant.

Help implement systems and procedures to improve efficiency as the company continues to grow.

Qualifications:

Bilingual English/Spanish required.

Previous experience as an Office Manager, Administrative Manager, Operations Coordinator, or similar role.

Strong organizational, communication, and problem-solving skills.

Experience managing multiple priorities in a growing company environment.

Experience with vendors, purchasing, scheduling, and administrative processes.

Proficiency with Microsoft Office, Google Workspace, and general business software.

Ability to work independently and take ownership of responsibilities.
