Job Summary
We are seeking a dynamic and organized Front Desk Clerk to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and attention to detail will help create a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and friendly environment.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle data entry tasks with accuracy using Microsoft Office, Google Workspace, and other office software
Maintain organized filing systems, including digital records and paper documents such as invoices, reports, and correspondence
Support office management activities such as calendar management, appointment scheduling, and coordinating meetings
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
Provide customer support by addressing inquiries, providing information, and ensuring excellent service delivery
Perform clerical duties including proofreading documents, managing mail distribution, and maintaining office supplies

Experience

Previous office or administrative experience is required, ideally in a front desk or receptionist role within a professional setting
Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Experience handling multi-line phone systems and practicing effective phone etiquette
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Proven ability to manage time effectively while multitasking across various administrative responsibilities
Personal assistant or medical/dental receptionist experience is a plus but not mandatory; relevant clerical experience is essential
